Executive Assistant to CPA Partners Job Opening in Portland, Oregon - Pittman & Brooks has the reputation of being one of Portland's most successful and forward-thinking accounting and tax practices. We're currently recruiting for an outstanding Executive/Personal Assistant to provide the highest level of administrative and clerical support to two Partners.
In this position, you'll be performing various administrative duties, including daily meeting preparations, complex calendar management, composition and tracking of correspondence and financial data, direct client contact, screening calls, and maintaining corporate records.
This position is ideal for a poised professional who thrives in a deadline-driven environment and thinks ahead at all times. As you'll be working with two very busy and demanding partners, being self-motivated with strong independent judgment and problem-solving skills is crucial. We are looking for someone who is professional, polished, and always wanting to go the extra mile. We have strict deadlines and need this person to take confidentiality to the highest degree. You must be flexible, organized, and be able to prioritize under pressure.

RESPONSIBILITIES:
Manage Partners? Work/Personal Schedules and Responsibilities
Manage and monitor two complex calendars and prioritize meetings
Preparing logistics for all meetings and events internally and externally
Work with staff to insure partners have all needed information in a timely manner
Assist with personal errands
Monitor and execute on tasks and deadlines
Prepare and track expenses/reports
Update time slips and prepare summary reports as needed
Monitor and update task statuses and client notes
Manage Communications with Relations
Screen and prioritize incoming emails for execution and follow up
Screen phone calls and visitors
Represent two different Partners in the creation of correspondence
Develop and maintain relationships with clients
Maintain professional appearance and conduct consistent with Partners at all times
Must maintain strict confidentiality of client, partners and firm Information
Must be able to work with a flexible schedule

Payment Vouchers
Estimates
Account
Pay Client Bills
Wire Transfers
Various Legal matters for clients
CHARACTERISTICS:
Candidate will possess excellent communication and organizational skills, strong editing and proof reading skills and the ability to prioritize and function efficiently in a fast-paced, deadline-driven environment.
High degree of integrity, diplomacy and confidentiality and interpersonal skills required
Problem solve complex challenges with creative solutions
Foster productive working relationships with a broad range of personality types on all levels of the organization
Anticipate needs and execute tasks to accomplish goals without specific direction or guidance
Produce work product with high level of accuracy and attention to detail
Maintain high level of productivity amidst changing priorities and varying tasks
QUALIFICATIONS:
Advanced knowledge of MS Office (Outlook, Excel, Word)
Knowledge of standard office and bookkeeping practices and procedures
Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines
Outstanding reading, writing and verbal communication skills
Must have strong multi-tasking skills and demonstrated history of meeting milestones
Must be extremely organized, detail-oriented, be able to foresee problems and handle them before they become issues
Possess a positive energy and can-do attitude and extremely motivated * Strong sense of ethics, integrity and good judgment
Flexibility (including hours) and willingness to work in situations in flux in a fast-paced environment
Strong interpersonal skills with ability to work effectively with employees at all levels
Experience in a CPA environment a plus * Professional conduct and discretion exhibited at all times
Job Type: Full-time
Salary: $50,000.00 /year
