Administrative Assistant at Church Job Opening in Eugene, Oregon - Job Description
This position provides clerical support for the Director of Administration and the Pastoral Staff of First Christian Church. This position is primarily responsible for all the publications of the church and other duties performed provide administrative support to church programs and maintain the efficient operation of the church.
Essential Job Functions:
Greets front office visitors and answers church telephone in the absence of a desk volunteer.
Creates a variety of printed materials, such as reports, posters, correspondence, weekly bulletins, weekly e-mail correspondence, monthly newsletters, and others as needed.
Records worship and class attendance and maintains membership records.
Recruits and supervises volunteers for specific office work.
Qualifications
Education:
High school diploma or equivalent with some office support classes or additional office training
Experience:
Proficient in the use of personal computers and routine software applications including desktop publishing programs (InDesign), Microsoft Office, email campaign broadcasts and website maintenance (WordPress).
Has working knowledge of office equipment and use
Knows principles of preparing correspondence, forms, reports, etc.
Possesses good organizational skills, can create and maintain filing systems, demonstrated attention to detail, and time management ability
Excellent oral and written communications skills; Ability to communicate effectively with individuals from diverse backgrounds and cultures.
Possess an active comfort with the language of faith.
Maintains confidentiality.
Physical:
Mostly sedentary, however it does require traversing 3 flights of stairs and some distances in and around the building on a routine basis.
Preferred Qualifications:
Associates or Bachelors Degree from an accredited institution in a relevant field.
Experience managing a website and social media accounts for businesses.
Previous Church administration desired, but not required.
Working knowledge of Church seasons, programs and traditions desired, but not required.
Accounting education or experience.
Speaks Spanish
Hours : Part-time, 20 hours per week: Will generally be scheduled between the hours of 8 a.m. and 5 p.m. Monday through Friday.
Performance Expectations within defined job functions
Effectively utilizes multi-tasking skills to address ongoing document projects, telephone duties, dealing with walk-in inquires, and special assignments that may be deadline driven.
Handles phone calls efficiently and politely. Takes accurate messages and disseminates in a timely manor.
Works effectively with volunteer receptionists, assisting them as needed to maximize their contribution.
Greets office walk-in inquiries with concern and refers them to appropriate staff or volunteer.
Prepares bulletins, newsletters, and other written materials with accuracy and attention to detail, and so that they are ready within required timeframe.
Enters attendance and updates membership records in database in a timely fashion.
Prepares maintains supplies for visitor packets and member packets.
Keeps office supplies in good supply, submitting orders as needed within budget constraints.
Works cooperatively with other staff members and volunteers, and is an effective team member.
Communicates clearly and effectively with others.
Utilizes effective problem solving and conflict resolution skills.
Aware of and follows policies of the church.
Job Type: Part-time
Salary: $11,000.00 to $11,500.00 /year
