Invoicing Clerk Job Opening in Maryville, Tennessee - Position Summary

The Invoicing Clerk works in the Accounting department and ensures the accuracy of invoices from the government. He/she gathers data from invoices to ensure that billing information is accurate, as well as analyzes invoices to ensure pricing accuracy for services rendered. The Clerk works with clients/customers to resolve billing in accuracies, prepares billing invoices and ensures the accuracy of the invoices.

Essential Functions

Reviews, evaluates, and processes invoices for services rendered.

Evaluates billing documents and other data for accuracy and completeness, obtains missing or corrects data when necessary.

Keeps all record of all generated invoices.

Coordinates with internal departments and staff for procurement data.

Proper maintenance of all invoice records for audit purposes.

Ensures timely entry of all data and upkeep of records.

Acts as the primary contact for all invoicing questions, issues, customer service, etc.

Keeps track of all services rendered and follow-up on discrepancies within reporting documents.

Submits invoicing to appropriate parties either via electronic format or paper.

Track and report on Non-Payment invoicing.

Accrued invoicing for the month and submission as approved by the government if not based on real-time work completion.

Develops reports as requested by internal and approved external staff.

Helps to move invoices through the government approval process as rapidly as possible making sure that all work order detail is correct on these submitted and verified invoices.

Works closely with Operations in order to maintain the activities and changes for each contract.

Preforms other duties as assigned by management.

General Requirements

Previous experience in payables and receivables is preferred.

Understanding of government contracting and experience with payroll is preferred.

High Level of attention to detail.

Comfortable dealing with numbers and the processing of financial information.

Ability to prioritize workload, and adapt to a rapidly fast pace work environment.

The capability to set and adhere to deadlines.

Ability to manage multiple tasks with frequent interruptions.

Strong Microsoft Excel and database skills.

Strong organizational, analytical and problem solving skills.

Must be a team player but also have the ability to work independently.

Excellent written and verbal communication skill, including the ability to interact effectively with all levels throughout the organizations.

Education and Citizenship Requirements

Required : High School diploma or GED.

Preferred : Bachelor?s Degree from an accredited college/university or equivalent in Accounting, or related discipline.

Required : US and residence, with verbal and written fluency in English.
