Service Writer Job Opening in Salt Lake City, Utah - SUMMARY: Sells and schedules needed semi-trailer service work in the Service Department.
ESSENTAIL DUTIES AND RESPONSIBILITIES: Other duties beyond this representative listing may be assigned to the essential job duties and responsibilities of this position based on Company needs and as directed by supervisor.
Schedule service appointments. Obtain customer and vehicle data prior to arrival when possible. Use ADP/CDK appointment scheduler when possible.
Greet customers in a timely, friendly, professional manner and obtain all vehicle and customer information needed to properly open repair order.
Review/inspect customer?s vehicle recommending additional work needed. Inspect Utah State Inspection and/or FHWA inspection and advise customer of needs.
Write up customer?s vehicle problems accurately and clearly on repair order.
Obtain customer signature/approval during write-up process either on repair order or on Company approved pre-write sheet.
Refer to service history in ADP to verify previous work.
Provide a complete and accurate written cost estimate for labor and parts, utilizing sales staff as needed.
Establish ?promised time?. Check with foreman if needed. Document on repair order in ADP/CDK promised time section.
Establish customer?s method of payment. Obtain credit approval if necessary prior to work beginning. Update accounting of any changes.
Notify shop supervisor of incoming work.
Check on progress of repair throughout the day. Contact customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and obtain proper authorization before any additional repairs are performed. Document all authorizations in a proper format.
Review repair orders to ensure that work is completed and additional work and authorization is noted appropriately. Pre-Invoice repair orders as appropriate.
Obtain purchase orders for AR accounts prior to releasing vehicle.
Ensure that vehicles are parked in assigned areas. Make sure all CASH customers vehicles are properly locked.
Explain completed work and all charges to customers.
Handle telephone inquiries regarding appointments and work in process.
Ability to operate and understand various PC based programs and invoicing systems, including ADP.
Perform training as requested by supervisor.
Must be able to pre-invoice R.O?s correctly and in a timely manner.
Keep work area clean.
Ability to multi-task under pressure.
Must demonstrate positive corporate citizenship.
Must have strong interpersonal and communication skills.
Maintain professional appearance and conduct that favorably represents the Company.

Must be punctual and to work on the agreed upon time.
