Position Title: Administrative Assistant
Reports to : Director of Finance and Administration
Category : Non-Exempt, Full time
Location: 3655 Calvert Street, NW
Hours: 9 am- 5 pm, occasional weekend and evening work

Summary:
Supervised by the Director of Finance and Administration, this position provides general administrative and information services support for the department as outlined below. Additionally, this position performs duties such as coordination of board and committee meetings in support of the CEO. The role requires working professionally with a diverse group of essential external relationships and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize workload. Recommends changes to office practices or procedures.
Essential Duties and Responsibilities:
Administrative Duties
General administrative functions including, filing, copying and meeting preparation
Order food for all administrative functions
Order and maintain an inventory of cell phones
Maintenance, tracking and upkeep of company vehicles
Reserving meeting space
Supervises the office cleaning vendor.
Purchases and restocks office supplies. Point of contact for office equipment maintenance issues.
Act as a liaison with FP vendors for information services, printer/copier, cleaning, phones and others, coordinating to ensure completion of necessary tasks proactively
Assist with administrative functions for onboarding and off boarding
Information Technology (IT) Responsibilities
Updates Emails, and works with IT contractor to update Scanner/Other Software and Hardware user accounts for new employees, deleting and transferring old ones
Maintains updated common folders by consolidating, editing and deleting old employee data and files on server and cloud systems
Periodically surveys offices and departments for hardware and software needs
Supports the updating of employee directories and other administrative documents in the Intranet and across platforms where needed
May assist in organizing organization?s records management system (paper and electronic)
Assists employees with access rights and issues to our various systems including Star2Star and the intranet
Maintains Box and Gmail User Accounts and ensures proper on-boarding and off-boarding procedure are used
Support to CEO
Manages Board of Directors? information, which may include updating contact lists, collecting, organizing and electronically filing Board materials (minutes, forms etc.). Shares with Admin and Development and the external auditor and all directors as needed
Provides logistical support for Board and All staff meetings
Provides other assistance to CEO as needed.

College Degree preferred
Qualifications:
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task

Must be able to lift 30 lbs
Background checks:
The selected candidate will be required to pass a criminal history background check and/or fingerprinting including FBI.
