Receptionist/Office Administrator (Event Industry) Job Opening in Brooklyn, New york - Progressive audio, visual, & staging company Sound Investment seeks an entry-level professional to assist with accounting duties and administrative support.
We are looking for a highly motivated individual to join and grow with our team. An outgoing personality with a sincere focus on customer service is preferred. Position reports to regional manager. Candidate must have exceptional communication skills, both written and verbal.
Our New York branch is has been open for a year and the position has the potential to lead to tremendous growth within a company that has been successful for over 15 years.
This is an opportunity to share ideas and implement new processes while gaining valuable experience in the event and AV industry. Our company has always been known for our excellent, hard working staff and we believe a positive attitude is a must. Each member on our team wears many hats; in other words, the ideal individual must be flexible and open to various office responsibilities.
BASIC QUALIFICATIONS
Associate?s Degree required; Bachelor?s Degree preferred
Minimum 1 year in administrative, clerical, accounting or reception related work is preferred
Strong experience with MS Office is a must
Must be able to work Mon ? Fri 9am ? 5pm
CORE RESPONSIBILITIES
Provide assistance and administrative support to New York office and company headquarters
Answer and direct all incoming calls, schedule conference calls, and make appointments
Work in QuickBooks, Google Docs, Excel, and update client database as needed
Maintain accounting records and manage documents such as invoices, vendor statements, receipts, etc.
Work with internal account management to ensure proper billing
Maintain overall event execution by creating contracts and managing event calendar
Open and distribute mail and accept shop deliveries
Maintain inventory of all office supplies
Develop new organization systems and strategy in a dynamic small team environment
DESIRED CHARACTERISTICS
Prior experience of administering new and potential client and producing correspondence
Motivated individual that can thrive in both a corporate and start-up type environment
Strong attention to detail and ability to work independently
Knowledge of event and/or AV Industry is a plus
Strong ability to collaborate and coordinate
Professional maturity, integrity, discipline and a positive attitude
Exceptional communication skills (both verbal and written)
Ability to manage the successful execution of contracts
Familiarity of basic accounting procedures
