Office and Accounting Administrator Job Opening in Dallas, Texas - Job Summary
The Office and Accounting Administrator supports the Armour Specialty Marketing business of JM Swank, LLC in Grand Prairie, Texas. The Administrator handles all office duties, including sales support, and all accounting responsibilities.
Essential Job Responsibilities
Answers phone calls and questions, or forwards call to appropriate person; provides technical information, when needed, to customers; and provides first-line problem resolution for customers, co-packers, warehouses, and trucking companies
Develops and maintains positive and professional working relationships with co-packers, customers, outside warehouses, and transportation companies
Takes orders from customers and ensures purchase orders are placed with Armour?s co-packers and shipped with accuracy and efficiency
Sets up for all orders placed
Maintains spreadsheets for tracking purposes
Invoices customers, ensuring accuracy of order and shipment (matching against bills of lading)
Accounts receivable: calls customers for collection purposes; receives, ensures accuracy, and processes customer payments
Reviews regional accounts receivable ledgers to ensure Armour ships to only accounts in good standing
Works with brokers and sales managers to ensure orders and customer service needs are handled appropriately
Accounts payable: verifies validity and accuracy of invoices and processes for payment
Prints, reviews, and analyzes Daily USDA Market report, reporting analysis to sales personnel
Runs Open Orders and Customer Aging reports and distributes accordingly
Reconciles/audits monthly actual inventory against database
Runs Broker reports, keys data, and produces broker , summarizing orders and calculating accruals
Runs monthly Closing reports (gross margin, etc.)
Maintains organized documentation and accurate files
Performs data entry in Microsoft Dynamics AX, pulls reports and analyzes data
Processes incoming and outgoing mail
Orders office supplies and performs other administrative functions for the office
Job
Associate?s degree or two years of college, preferably in accounting
At least three (3) years of experience with office administration, accounting, customer service, and sales support
Knowledge of accounting principles
Experience working with an ERP system - Microsoft Dynamics AX desired
Strong oral and written communications and interpersonal skills
Strong organizational skills with the ability to effectively prioritize, multi-task, and meet deadlines
Extreme attention to detail and accuracy of work
Ability to effectively resolve issues in a timely manner using sound judgment and critical thinking
Ability to develop and maintain positive and professional working relationships with team, vendors, and customers, including when under pressure
Must be self-motivated with a strong work ethic, and able to work independently and as a team
Ability to work scheduled hours and overtime, as needed
Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint)
Incumbent works in an office environment performing sedentary work and will regularly push, pull, bend, reach, and carry, and occasionally lift up to 10 lbs. Incumbent may also travel less than 5% of the time, including overnight stays.
