FULL & PART TIME ASSISTANT Job Opening in Schaumburg, Illinois - Schaumburg company is looking for a full time or part time assistant to help support the office. The assistant will need to utilize their organizational skills to manage & assist the office with day to day tasks. Assistant will be working directly with the CEO.
Event Planning Responsibilities:
Provide direct administrative support to CEO
Schedule CEO?s appointments, manage calendar, & support on day to day tasks
Manage high volume customer calls (inbound and outbound), text message support, & e-mail support.
Assist with event coordination, planning, execution, and operations
Attend pre planning meetings downtown
Attend and work actual events during the
Assist in finding vendors for events. Work with vendors to put together agreements.
Assist in finding sponsors for events. Work with sponsors to put together agreements.
Proofread event flyers, websites, blogs, social media, etc and make grammatical updates
Manage and track expenses for individual events
Assist in internet research and organizing results in Microsoft Excel
Prepare, compile, and organize materials using
Run errands, get supplies for events, prepare for meetings with venues, vendors, contractors, etc.
In short, assistant will be involved in all major facets of the event planning and be working directly with CEO on areas. Additional responsibilities as needed
Real Estate Responsibilities:
Maintain and track rents from tenants
Assist in dispatching carpenter for rental issues
Pick up & deposits checks at the bank
Communicate any important updates/information to tenants. Send mailers.
Internet research.
Requirements:
Bachelor?s degree, preferably in business, management, marketing, journalism, or finance preferred, but all degrees welcome
1-2 years of administrative assistant experience
High attention to detail required. Very organized! Strong communication and phone skills.
Must be a self-starter who can adapt well under pressure. Can give creative ideas to improve processes.
Very Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Proficiency in using Internet & doing Internet Research
Must be tech savvy and can handle internet issues on-site during live events
Fluent in English ? Excellent written and verbal communication skills.
Must have access to a car. Occasional travel required.
Prior event planning experience (not required, but a huge plus)
Overall, person must be willing to learn and figure out issues. Desire to work in an entrepreneurial environment where teamwork is a necessity. Confident, poised, and polished presentation
Must be available to work on holiday and dates surrounding them since our major events occur at those times (ex. Memorial Day weekend, July 4th weekend, Labor Day weekend, Halloween weekend, & New Year?s Eve weekend.)
Flexible schedule; must be willing and able to occasionally come into work on short notice
Fluent in Spanish (Plus) -- Not Required
Adobe Photoshop (Plus) -- Not Required
Quicken or Accounting Software (Plus) ? Not Required
