SUMMARY
Under the supervision of the Controller, the Senior Payroll Administrator is responsible for the timely and accurate processing of the weekly payroll, payroll tax preparation and filing, and benefits processes for the Company. This position performs a variety of specialized administrative tasks, payroll processing and customer support related duties. The Senior Payroll Administrator verifies time entries in the payroll system, updates spreadsheets, responds to inquiries both internally and externally, prepare, process, maintain, verify and reconcile payroll records of Company employees; prepares, validates and process tax deposits, prepares and files quarterly and annual payroll tax and reporting, generates required ACA reporting, assist staff and management by answering payroll related questions, completing request and resolving issues. This position requires a high degree of confidentiality, excellent customer service, advanced administrative and organizational skills, working knowledge of state and federal wage and hour laws and regulations; and attention to detail.
QUALIFICATIONS REQUIRED:
High School Diploma
Experience with multi location construction company
Minimum of five years of payroll processing and payroll tax experience
Excellent skills using MS Word, Excel and Internet
Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
Ability to maintain a high degree of confidentiality
Excellent problem solving/judgement skills, and meticulous attention to detail and accuracy
Strong organizational skills, and the ability to work under pressure
Flexibility for responding to competing demands and continually changing work priorities in a fast paced environment
Strong working knowledge of payroll practices and labor and compliance guidelines
Excellent interpersonal skills, and establish effective relationships at all levels of the organization
Proactive and capable of working as a member of a team, as well as independently
Clear judgement to act responsively to customer inquiries and requests, and escalate matters appropriately
Must have of wage and hour labor laws
Must have the ability to work overtime as required
QUALIFICATIONS DESIRED:
AAS or its equivalent and at least four years? experience in the field
CPP Designation
Experience working with time keeping systems
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Review and upload E-Time timecard entries and verify accuracy and compliance
Prepare payroll and bonuses for distribution/direct deposit
Generate payroll reports to include: payroll register, labor distribution, child support payments, and general ledger posting
Update and maintain accurate employee payroll information in the system
Verify accuracy of reports and provide reconciliations to Controller
Prepare and distribute certified payroll reports as necessary
Distribute Weekly Labor Repots to ?jobs? and respond to inquiries
Transmit weekly 401(k), HSA, and other
Prepare, balance, and process tax deposits timely, as required by law
Accurately prepare any Federal, State and Local payroll returns to ensure timely filing
Prepare W-2 forms at end of year
Maintain employee master files, prior year time cards, payroll distributions, and terminated employee files as required by federal, state and local law
Process pay levies, garnishments and attachments
Respond promptly to ensure employee inquiries regarding payroll and benefit information are answered in less than 24 hours from the initial phone call or email in a professional and respectful manner
Maintain business controls and audit trails for all payroll transactions, garnishments, etc.
May provide training to employees on the proper use of the E-Time system and how to properly account for hours worked and overtime
Assist Safety Director with OSHA 300 Log and other reports as requested
Provide Workers Comp employment and wage verification
Transmit new hire and terminated employee notification to Attorney General?s Office
Reconcile all benefit invoices and track corrections
Respond to employment verification requests
Reconcile employee vacation and other accrual balances
Tracks and pays per diems, vehicle and cell phone allowances
Participate in testing and system maintenance
Handle inquiries from various levels throughout the company; research and trouble shoot any and all inquiries to get issues resolved
File, attend meetings, and manage all payroll needs
Coordinate with HR for FMLA tracking
Elevates issues and concerns to Controller
Assist auditors with payroll information as requested
Serve as back-up and may assist with additional duties as needed

Must be physically and mentally able to successfully perform the essential elements of the job with or without reasonable accommodation. While performing the duties of the job must be able to hear and talk. Is frequently required to stand, walk, and sit. Must occasionally lift and/or move up to 20 pounds. Vision requirements to do this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
While performing the duties of the job, the employee is occasionally exposed to moving mechanical parts and outside weather conditions. The noise level in the work area is usually moderate.
