Reports to: President and SVPO
Supervises: Business Office Services Department
PURPOSE : To manage overall accounting functions, human resources and departmental operations oversight.
RESPONSIBILITIES:
Ongoing accounting responsibilities, management and oversight
Under the direction of the President, manage the company?s financial resources in accordance with the approved budget
Manage cash flow and advise the President to ensure the most effective use of cash in the day-to-day operations of the organization
Oversee bookkeeping work performance of others
Maintain chart of accounts, journals, and related financial documentation
Assure the preparation of various corporate filings including insurance, payroll and taxes
Provide reports and other financial information, schedules, etc. to assist other staff to monitor progress on their various functions and responsibilities
Responsible for accounting for non-cash resources such as in-kind goods and services
Responsible for overall management and operation of software applications pertaining to financial management
Provide support to accounts payable, accounts receivable and all daily, weekly and monthly accounting functions
Ensures accurate compilation and processing of all commissions
Ensure all client contracts are developed, sent, reviewed and updated
Provide supervision of the business office services department
Ensures adequate inventory of supplies
Maintain petty cash fund
Act as liaison and management to outsourced functions
Act as internal representative for HR functions
Maintains awareness of and adherence to all HR regulations and rules
Review, revise and author HR policies and procedures
Maintain P&P manual
Maintain employee handbook
Conduct employee background checks
Review, analyze and recommend benefit changes/strategies
Ensures and maintains benefits including election enrollments and maintenance
Ensures personnel files are up-to-date
Ensures vendor contracts are secured, maintained and evaluated
Provide new-hire orientations
Payroll functions
File I-9 forms.
Participate in business planning
Conduct departmental performance reviews
All other tasks as assigned by the President.
Prepare periodic reports pertaining to organizational finances and resources
Prepare weekly cash flow reports
Prepare monthly income or profit and loss statements/reports
Prepare progress reports vs. budget or goals for staff responsible for various service, administrative, marketing or fundraising programs or objectives
Prepare quarterly financial reports by account and function
Prepare other forms, reports or forecasts as requested for various entities such as bank, investment manager, insurers, etc
Annual Accounting Responsibilities, Management and Oversight
ACA (EEOC as needed) reporting
Work closely with staff to prepare annual budget
Work directly with CPA firm to prepare for, gather information and assist with the successful completion of the company?s year-end including IRS and state filings
Prepare, distribute and analyze RFP for accounting and other services as requested
Maintain Corporate minutes
Ensure all filings have been completed and documented
REQUIREMENTS
Bachelor's degree (or equivalent) in Accounting or Finance
5 years minimum progressive experience in similar role
Knowledge of GAAP, organizational auditing, analysis and internal controls
Strong detail orientation
Knowledge of emerging human resource, tax laws and regulations and their application
Able to multi-task and use exceptional organizational skills
Excellent oral, written communication, and presentation skills
Strong team based environment
