Front Office Team Leader Job Opening in Beaverton, Oregon - New Horizons Wellness Services, LLC has an opening for a Front Office Team Leader. We are searching for a smart, forward-thinking, solution-seeking, flexible, confident individual to join our amazing team. We are a growing, therapist-owned, multidisciplinary clinic that offers counseling and occupational and speech therapy services in Beaverton and surrounding communities.
Job Responsibilities:
This individual will provide overall leadership to front office staff, identify and assist in resolving operational challenges and generally enable the smooth operation and growth of the clinic.
Provides exemplary customer service to all prospective and existing patients, referral offices, vendors, and the general public through friendly, compassionate, respectful, informed, timely, and results-oriented interactions.
Respect the patient?s right to privacy and confidentiality (HIPAA).
Practices superior judgment, communication, and follow-through in all situations; identifies, anticipates, and fulfills the unique needs of each internal and external customer; ensures every action/decision is consistent with clinic policies, vision, mission, culture, goals and all applicable laws
Completes all work with precision, on or ahead of schedule; continually learns, updates and communicates expert clinic and industry knowledge; keeps private all patient and company confidential information
Stays abreast of all aspects of daily office operations; responds quickly and effectively to all requests, problems and expressed or anticipated needs
Serves as New Patient Coordinator: handles all incoming provider referrals, new patient inquiries, scheduling and requests. As necessary, coordinates with referral offices, handles requests of medical information and mailing of, or following-up on paperwork; converts very high percentage of callers and referrals to patients through assessing unique customer needs and delivering upon them
Serves as back-up front-desk reception and shares in telephone reception with receptionist and medical office assistant
Manages inbound fax distribution
Is first point of contact for escalated patient questions or concerns; escalates issues to program and clinic directors as appropriate; immediately reports all actual or anticipated problems and positive/negative feedback to clinic director
Ensures office is kept in pristine physical condition
Maintains office supply inventory; maintains vendor relationships and seeks competitive pricing, as appropriate
Performs all other duties and training, as assigned
HIPAA Requirements:
The Front Office Leader has access to PHI in order to create and maintain an accurate and up to date medical record, applying the minimum necessary standard of HIPAA, the designated record sets to which this employee will have access include: all sections of the medical record, patient demographic information in the practice management system, and incoming records, reports, results, consultations, etc. The Front Office Leader is required to read the content of these records only to the extent needed to accomplish the assigned task (e.g., filing or disclosure).

Must have strong initiative and follow-through, attention to detail, and be able to prioritize and manage time effectively.
Must be well-organized, follow directions with precision, adhere to office protocols and the Law, deliver upon company goals, and produce timely and accurate work. The ability to maintain positive working relationships and work cooperatively with staff is essential.
Must have strong computer skills, including proficiency with Microsoft Word, Google Doc and the ability to continually learn and update existing computer skills is a must. Must take on additional work as needed and be willing to perform work outside of regular job duties, as assigned.
Must have experience working with electronic medical records.
Must have a solid understanding of medical billing/coding and medical insurance benefits/prior authorizations
Must type a minimum of 40 WPM and have excellent 10-key by touch.
Education and Experience:
Bachelor?s degree in healthcare administration or related field.
Successful candidate should have 3+ years of medical front office experience. In addition, candidate should 1+ years of lead or management experience preferably within the medical industry.
Status:
Full-time (32+hrs/week)
Compensation and Perks:
Hourly position (hourly rate negotiable based on applicant?s current insurance paneling).
