Assistant to the Controller Job Opening in Los Angeles, California - The position reports to the Controller and is responsible for the day-to-day maintenance and reconciliation of the general ledger, interpreting, classifying and analyzing financial data and assisting with payroll and human resource functions.
Principal Duties
Assist Controller with payroll and human resource functions to include:
Payroll preparation and transmittal
Payroll reconciliation to quarterly reports
Hiring process including onboarding, processing of hire-related paperwork and entering of employment data into HRAnytime database
Recording changes in wage, personal information and benefit selections in HRAnytime
Maintaining personnel files
Tracking and updating paid time-off; vacation and sick leave
Coordination during Annual Open Enrollment period
Administering leaves of absence including FMLA
Retirement plans coordination and tracking
Assisting employees with questions and resolving benefit issues as needed
Accounts Receivable: invoicing, posting of customer payments: recording of checks, PayPal and credit card transactions (ability to differentiate payments from multiple processors), prepare bank deposits and resolve discrepancies and deductions
Donor accounting; record donor gifts and grants ? unrestricted, restricted and multi-year, analysis and reconciliation between financial software and DonorPerfect
Program fees; invoice, allocate payments, reconcile program revenue between financial software and other software packages to include CampMinder, Eventbrite and Form Assembly, and prepare corresponding revenue schedules
Accounts Payable: review, code and record vendor invoices, prepare and verify check requests, process expense reports, process electronic transfer payments, prepare check runs, maintain vendor files, petty cash reconciliation, vendor account analysis, research and resolve discrepancies, correspond with vendors and respond to inquiries
Reconcile monthly bank and credit card statements
Run trial balance to verify general ledger accounts in balance, analyze and make necessary adjusting journal entries to correct discrepancies
Monitor cash flow
Prepare journal entries for accruals, fixed assets and depreciation
Prepare and file 1099s
Prepare documentation for Workers Comp Audit
Assist Controller in preparation of audit work papers to assure a complete and timely audit
Maintain thorough and up to date filing system
Essential Skills and Experience Required For Position
Bachelor?s Degree in Business Administration, major or minor in Accounting or Finance
3 ? 5 years? experience working in accounting department
Prior general ledger and account reconciliation experience
Experience with payroll processing and benefits administration, experience with ADP HRAnytime a plus
1-2 years? experience in Donor Accounting , experience with DonorPerfect a plus
Possess strong analytical and problem solving skills, ability to make well thought out decisions
Good working knowledge of GAAP and best practices
Experience with QuickBooks a plus
Proficient in Microsoft Office Professional
Intermediate Excel experience including batch imports
Motivated self-starter who is comfortable working in a fast-paced environment
Ability to prioritize work flow to meet deadlines, efficient and organized
Excellent written and verbal communication skills
Ability to work as part of a team and independently
Highly trustworthy, discreet and ethical

Salary: $50,000.00 to $58,000.00 /year
