Office Manager Job Opening in Tacoma, Washington - The Puyallup Watershed Initiative (PWI) was created in 2012 as a new model for community-centered change, and aims to improve social and environmental conditions throughout a watershed that comprises more than 1,000 square miles from Mt. Rainier to Commencement Bay ().
The PWI is in transition as The Russell Family Foundation (TRFF) and Initiative participants work to establish an independent, community-led and community-owned entity. The Office Manager is a member of the PWI team and will be hired as a temporary TRFF employee and transfer to employment with the PWI organization once the organization is fully operational.
The Office Manager role is crucial support for the PWI team. This position works to support the coordination and operations of the PWI team by providing strong technical, administrative, financial and customer service support to join the PWI team in an exempt role. This position will provide primary operations and administrative support to the Executive Director and the PWI office. Essential to the success of this position is a willing and helpful attitude and strong attention to detail. Interested applicants must be able to work both independently and collaboratively.
The ideal candidate must demonstrate strong organizational skills, problem solving skills and ability to prioritize workload to meet deadlines. He/she must also be able to work effectively with people from diverse backgrounds in a team environment.
Job Responsibilities
Works as member of the team to create and sustain a smooth functioning office by managing the day to day operations including facilities management.
Serves as administrative support liaison between the Executive Director, PWI staff, other community members and outside agencies.
Manages complex calendaring, travel arrangements, as well as meeting and event planning.
Accounting and finance responsibilities include bookkeeping, budget management, reporting, payroll administration and grants oversight.
Reviews, analyzes, and informs management of special reports; summarizes information; identifies trends.
Achieves financial objectives by preparing an annual budget, schedules expenditures; analyzes variances; initiates corrective actions.
Orders and maintains all supplies and supply requisitions.
Maintains office efficiency by planning and implementing office systems, layouts and equipment procurement.
Designs and implements office policies by establishing and documenting standards and procedures, measures results against standards, and makes necessary adjustments
Assists in coordinating various internal and external meetings, office functions and activities including logistics, catering and agenda development.
Manages website updates, users, and administrative responsibilities for social media.
Organizes and coordinates administrative support and office operations and procedures such as documentation policies and record management to include systematic retention, protection, retrieval, transfer and disposal of records; evaluates procedures and revises as necessary; devises new forms to improve efficiency.
Creates and maintains tracking systems involving complex and confidential information for the PWI.
Prioritizes workload to meet deadlines.
Performs other related duties as required.
Knowledge and Skills:
Proven experience as an Office manager, Front office manager or Administrative assistant.
Strong skills participating in a team?oriented environment.
Ability to organize and manage multiple priorities and projects
Strong computer skills (Competent in Microsoft Office Suite) and the ability to adapt to new technology.
Strong excel and financial bookkeeping skills
Excellent attention to detail and follow?through, including proofreading and editing
Ability to demonstrate flexibility with changing prior
Ability to handle confidential information in a professional manner
Strong oral and written communication
Ability to perform basic mathematical computations
Ability to work alone and sometimes under
Understanding of issues related to equity, diversity and inclusion and skills in working collaboratively with people from a wide range of backgrounds.
Benefits
Salary Range - $51,000 - $60,500
