JOB DESCRIPTION/SUMMARY
This position is responsible for providing general administrative support to construction professionals, including but not limited to the coding and processing of invoices, preparation of bid documents, solicitation and procurement of subcontractors and vendors, obtaining bid, and performance and payment bonds, maintaining contract files and assisting with the preparation of claims. This individual will also be responsible assisting with preparation of various reports.
DUTIES AND RESPONSIBILITIES
PROJECTS
Provide input to senior management regarding project status.
Assist with preparation and maintenance of project schedules and budgets.
Support project requirements for labor, equipment and material.
Process project invoices.
Maintain accurate and complete project files.
Coordinate hiring process with HR Department as needed.
Coordinate base passes for subcontractors and vendors.
Compile and produce monthly project updates.
Review and verify subcontract payment documents for submission to Contracts Manager.
Update and file daily QC, Safety, and Production reports.
Respond to questions and concerns in a timely, professional manner.
ESTIMATING
Upload bid documents to server and FTE site.
Transmit plans & specifications to subcontractors and vendors.
Initiate pre-bid site visit forms and coordinate access for subcontractors and vendors for site visit.
Track correspondence, addendums, and other documentation for RFPs and bids.
Update and distribute bid matrix.
Assist with solicitation of subcontractors and vendor quotations.
Prepare bid documents.
Deliver proposal documents and submittals to clients.
Maintain bid results file.
Update Subcontractor/ Vendor spreadsheets
BONDING
Request bid and performance & payment bonds
Maintain bonding tracking log
MINIMUM QUALIFICATIONS, SKILLS, AND EDUCATIONAL REQUIREMENTS
Bachelor?s degree in accounting or business administration
Two to five years of construction project administration, estimating, subcontracting, and contracting systems.
Command of Microsoft Office, especially Word, Excel and Access.
Experience providing administrative support on U.S. Government construction contracts preferred.
Excellent verbal and written communication skills.
Ability to prioritize tasks and ensure multiple deadlines are met.
Reliable and capable of functionally effectively as part of a team.
Must be a critical thinker and a good listener.
Must have strong administration skills.
Valid State of Hawaii driver?s license and clean driving abstract.
INTER-PERSONAL RELATIONSHIPS
Must demonstrate excellent interpersonal skills and team building skills and must interact effectively with project operations teams, co-workers, vendors, and clients.
