Position Summary:
The Senior Executive Office Specialist is responsible for a broad spectrum of services primarily focused on ensuring that the Chief Executive Officer?s time is planned and expended with maximum efficiency and effectiveness.
This position manages the flow and exchange of information, streamlines interactions with staff and key stakeholders for the CEO, prepares or assists with reports, and performs work on behalf of the CEO. Manages tasks within the Executive Office by developing and implementing sound strategies and tactics that promote excellence in Executive Office staff activities. Demonstrates expertise in a variety of concepts, practices and procedures, and relies on extensive experience and judgment to plan and accomplish goals in conformance with the Strategic Plan. Also maintains knowledge of ASA?s policies and practices.
Primary Position Responsibilities:
Compiles and maintains reporting on organizational objectives and dashboard on behalf of CEO.
Manages and executes the CEO?s requests and priorities. Makes recommendations as to disposition and priority.
Reviews and prioritizes CEO email and mail communications. Drafts high level correspondence (i.e. staff announcements) on behalf of CEO. Researches member complaints, and acts as first responder. Develops and maintains system to track correspondence and follow-up.
Manages work-related social media accounts. Monitors and reports on ASA activity. Drafts posts for CEO?s approval.
On behalf of the CEO helps to manage and prioritize assigned projects. Acts as a project manager for special projects which may include doing background research, planning and coordinating multiple presentations, disseminating information, and organizing special meetings/events.
As a member of Governance team, provides Executive Committee (EC) support on behalf of the CEO: schedules webinars/calls, prepares weekly agenda, handbook and post-meeting report. Identifies and tracks follow-up on behalf of CEO and ensures execution on all items. Shares responsibility with other members of the governance team as requested by CEO and/or Director of Executive Office and Governance.
Position Qualifications:
Bachelor?s degree required. Master?s degree preferred.
Minimum 4 years executive administrative experience required.
Proficient in Microsoft Office applications, webinars, web portal (Sharepoint) activity, and other productivity focused tools.
Healthcare or association experience highly preferred.
Clear and consistent communicator (verbal and written). Excellent writing and proofreading skills.
Demonstrated project coordination experience.
