Mgr of Financial Services Job Opening in Charlottesville, Virginia - General Accounting Responsibilities:
Record donations (database and hard copy).
Make deposits
Bill credit card donors monthly and as required
Send statements (receipts)
Keep track of outstanding pledges
Post pledges/gifts to donor database
Oversee Walk for Life data entry of pledges and post payments
Pay bills weekly.
Pay salaries for staff twice per month, pay associated taxes, Simple IRA matches, prepare monthly report and quarterly tax reconciliation. Coordinate employee benefits including insurance, obtaining plan quotes, enrollment and update of employees.
Maintain calendar for payment schedule of payroll, payroll taxes, rent, mortgage, monthly and quarterly reports, and any other reports and duties that may be required.
Balance checkbooks and all bank accounts monthly, and all other cash asset accounts.
Prepare all journal entries necessary monthly and annually.
Maintain financial documentation for grants and complete end of year grant financial
reports.
Prepare Tax Forms (or make arrangements for them to be done) annually.
Assist with audit preparations.
Ensure accuracy and completeness of the Donor financial records and reconcile monthly.
Post all online donations to donor records, initiate transfer of funds, and reconcile all online donations.
Reporting Responsibilities:
Create monthly reports for board meetings.
Prepare staff budget reports for all departments including Development reports. Review budget reports with various departments to ensure proper coding of charges and understanding of their budgets.
Prepare other reports as required by the Executive Director and Board Treasurer including for special projects. Meet monthly with Executive Director to review all department charges and the financial statements.
Prepare grant reports as required to track expenditures and income for the project
manager, Development Director and Executive Director.
Complete end of year grant financial reports, and as required.
Prepare reports for all events including income and expenditures as required.
Prepare the reports for the Budget & Finance Committee. Assist the Executive Director with the preparation of the annual budget including generating drafts of the budget.
Administrative responsibilities:
Supervise the Financial Assistant.
Attend Budget & Finance Committee meetings, and Board meetings as required.
Attend staff and director meetings.
Has secondary responsibility for batching bulk mails. Development team has primary
responsibility.
Responsible for recruiting regular volunteers for end of month mailings and assisting
them. Responsible for calling them if Outreach Coordinator is not available.
Answer phones and handle routine phone calls and messages. This is a shared
responsibility with the Office Manager and other staff.
As a new staff member, attend Counselor Training.
Perform all other duties as may be required by the Executive Director.
Event responsibilities:
Count cash, pledges and checks at Banquet, Walk for Life and other events as one of an
accounting team. Responsible for recruiting the accounting team for Charlottesville. Responsible for providing instructions to other Center Directors and their accounting teams.
Responsible for accuracy of Banquet, Walk for Life, Dessert Reception, Barbeque and
other events and donor databases for system accuracy, completeness and data input.
Responsible for recruiting and training of financial and data entry volunteers for Fall
Events and Walk for Life, and other event donations.
Be in attendance at PCCV events where staff is introduced (Banquets, Walk for Life, etc.)
Be available for full time hours after Banquets and Walk for Life to supervise data entry volunteers and help as well as to perform data entry personally.
Qualifying Skills and Behavior:
Must be a committed Christian and be committed to the sanctity of human life. Financial, accounting and/or bookkeeping skills and experience required. Attention to details, conscientious, dependable. Experience with Quickbooks Pro and Excel preferred.
