Summary:
A Veterinary Practice Manager is charged with the responsibilities of managing the business activities of a veterinary practice. A Practice Manager must possess strong moral and ethical professional values, a good work ethic, a positive attitude, and excel in communication and interpersonal skills. It is the responsibility of the Practice Manager to utilize sound principles in order to maximize practice profitability and value in accordance with the owners? goals and vision by having direct authority and decision making responsibilities over many business aspects of the veterinary practice.

Essential Duties and Responsibilities:
Include the following, other duties may be assigned
Human Resources:
Plans and schedules for optimal staffing to assure maximum productivity and service.
Directly recruits, interviews and hires practice team members.
Plans, organizes and facilitates regular team meetings.
Supervises practices team members and acts as the direct authority regarding performance, disciplinary procedures, discharging and all the legal responsibilities of employment.
Mediates all personnel problems, maintains team member morale and motivation.
Complete regularly scheduled performance reviews to maximize team member potential.
Responsible for development and implementation of employment benefit programs.
Develops and maintains team member training program to assure all team members are properly trained and continue to improve their skill set.
Reviews and maintains a thorough set of employment policies and employee manual.
Maintain confidential employee files.
Financial:
Develop and implement financial budget to maximize profitability.
Oversee payroll processes to assure team members are correctly paid and costs are managed to budget constraints.
Analyze and report key financial indicators. Develop strategies to address trends.
Reviews and/or purchases supplies and equipment assuring that a periodic review is made to assure that optimal prices are obtained.
Directly prepare or supervise preparation of all business accounting reports and transactions. Audit both the preparer and hospital personnel performance to assure that proper methods and techniques are being used. Maintain chart of accounts.
Oversee all banking and cash management procedures. Reconcile bank statements with practice management software.
Perform periodic review and analysis of fee schedule for services and products. Adjust as necessary to maximize profitability.
Review and/or prepare all accounts payable and receivables to confirm that each is handled correctly and timely, under the direction and supervision of the Chief Financial Officer.
Marketing:
Develop and implement a detailed marketing plan that includes internal marketing/client retention and external marketing/new client development.
Analyze and report marketing efforts.
Manage and update website and social media marketing.
Address small animal client questions and complaints.
Oversee delivery of consistent client education through relevant handouts and team training.
Measure and report client satisfaction. Perform Client exit interviews.
Organization of Practice:
Oversee all client service activities. Implement strategies to improve the client/patient experience.
Analyze patient throughput and scheduling activities. Develop and implement strategies to maximize efficiency and client satisfaction.
Maintain appropriate inventory system, to include:
Inventory reorder points to maximize annual inventory turns and ensure practice has required items on hand.
Controlled substance ordering, tracking, security and destruction within DEA regulations. Inventory purchases are within budget constraints.
Inventory levels are accurate and reported at regular intervals. Physical inventory counts are used to verify levels.
Establish and maintain vendor relationships.
Equipment and building are maintained to maximize useful life and minimize repair/maintenance costs.
Develop and maintain checklists and logs to track and report maintenance.
Organize facility and stock to ensure a safe and efficient work environment.
Work with veterinarians to establish and maintain delivery of high quality medicine.
Review of all medical forms, update as necessary.
Oversee all information technology resources and practice management software to maximize efficiency and minimize downtime. Ensure all team members are properly trained in its use.
Law and Ethics:
Develop and maintain Risk Management Plan.
Ensure that practice is compliant with all local, state and federal laws and regulatory agencies, to include:
OSHA/OSHA Right to Know
DEA
FDA
City of Keyser/City of Petersburg/City of Moorefield
State of West Virginia
West Virginia Board of Veterinary Medicine
Ensure practice and team members demonstrate high moral character and meet/exceed standards set by AVMA code of E\ethics and the practice statement of ethics
Review and oversee all contractual negotiations, to include practice purchase contracts and employment contracts.
Oversee team member licensure and certification, as needed.
Ensure practice is compliant with all labor/employment laws.
