Purchasing Clerk Job Opening in Chicago, Illinois - Position Description: Support the fiscal and accounting functions of the agency in accordance with generally accepted accounting principles and written policies and procedures of the agency. Performs a variety of complex clerical and entry-level bookkeeping and accounting tasks associated with the procurement of goods and services for the agency.
Scope of Responsibilities:
Administrative support for the Purchasing Team, including but not limited to conducting inventory, checking invoices, and comparing article code data
Safeguard the assets of the agency
Review menu for preparation and order food and supplies on menu provided by Dietician
Monitor requisitions to ensure all purchases are allowable under CFR 200
Prepare RFP?s for bids for services/material and supplies as needed or required by regulatory agencies
Maintain facilities and maintenance work order log
High volume, accurate, data entry into procurement and financial systems
Review and process invoices using procurement and financial systems
Forward invoices to internal departments like Accounting
Prepare purchase orders and send copies to suppliers as well as respective internal departments
Compare suppliers' bills with bids and purchase orders to verify accuracy
Prepare, maintain, and review purchasing files, reports and price lists
Check deliveries when they arrive to ensure that orders have been filled correctly and that goods meet specifications
Determine if inventory quantities are sufficient for needs, ordering more materials when necessary
Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers.
Attend meetings with Finance and Accounting Team
Perform periodic compliance audits
Qualifications:
2 + years of purchasing experience in the finance function preferable non-profit
Work experience with data entry and/or a procurement operation
Excellent knowledge of MS office, especially Excel
Hand-on approach and attention to detail
Ability to work well within a team as well as independently
Flexibility (working on weekends or evenings may be needed)
Education:
Two (2) years college

The employee may be required to work in or visit offices in the city of Chicago and suburbs and must be able to transport himself/herself to various locations.
Equipment Used:
Employee will generally use the telephone, computer, calculator, copier, overhead projector, paper shredder, paper cutter, and filing systems.

Salary: $30,000.00 to $32,000.00 /year
