(HPI), a private non-profit corporation, is one of the largest freestanding behavioral healthcare agencies in the area. HPI, accredited by the Joint Commission and licensed by the State of Michigan, provides a broad array of mental health and substance abuse treatment and prevention services to individuals of all ages.
Minimum Education and Experience Requirements:
The Engagement Specialist shall possess, at a minimum, a high school diploma or its equivalent.
He/she must have basic reception skills, minimum typing skills of 45 words per minute, and general organizational abilities.
He/she must be proficient in the use of Microsoft Office Word and Excel. He/she shall be capable of conducting web-based searches and utilizing web-based documents.

ESSENTIAL JOB RESPONSIBILITIES**
Technical:
General Office ****
Answer telephone calls utilizing HPI scripted greeting.
Completes accurate notations of phone messages received on provided tele­phone call recording documents.
Greets patients and visitors with an attitude that promotes welcoming.
Maintain general appearance of the reception area, including minor house­keeping tasks.
Legibly document using language meeting professional standards, abbrevia­tions per HPI approved listings, and error correction processes per policy.
Ensure external documentation is prepared on HPI-issued letterhead or clinical document.
Complete typing assignments within prescribed timeframes provided by the Office Manager/Senior Clerical, or Clinical Management staff.
Schedule patient appointments as instructed by the Office Manager/Senior Clerical.
Complete pre-appointment telephone reminder contacts as directed and record the result of each per clinic policy.
Pre-Intake ****
Prepare pre-intake packet and folder.
Ensure sufficient number of pre-intake packets is available to meet clinic volume needs.
Complete pre-intake paperwork per the clinic?s policy and procedure.

Schedule initial intake appointment based on the candidate's expressed need, clinician specialty area(s), and appointment availability.
Notify Office Manager/Senior Clerical if unable to schedule intake appoint­ments within clinic policy and procedure.
Monitor/file pre-intake folders, distribute appropriately on patient?s day of admission.
Enter intake appointment time and date into shared file/schedule.
Update Intake Log with changed intake appointments, appointments kept and/or canceled. Collection of Fees/Insurance
Collect and record patient fees.
Provide patients with accurate receipts for collected fees.
Verify insurance benefits and inform patients of eligibility prior to admission.
Document necessary contacts for insurance/payor authorization on appro­priate forms.
Communicate to Office Manager/Senior Clerical any and all deviations from HPI Policy and Procedure regarding collections and the reporting of service activity.
Record/Document Management
Complete validation of therapist/physician documentation as directed.
Utilize out card process in filing/pulling records from filing cabinets.
File documents into treatment records per HPI patient record order policy and procedure.
Disassemble records for storage within policy timeframes.
Review record documents for completion, flag and facilitate completion, per policy and procedure.
Prepare closed records for off-site storage.
Stamp all copies placed in treatment records as such.
Date stamp all received mail.
Interpersonal:
Maintain collegial, cooperative relationships with staff of HPI.
Maintain professional speech and tone with patients, family members, referral sources, etc.
Report all Recipient Rights complaints and knowledge of potential com­plaints to Program Manager within 24 hours of said knowledge.
Participate in all staff meetings as instructed.
Follow directives provided in staff meetings.
Respond to written requests from Office Manager/Senior Clerical, clinic management, or HPI Administration regarding operational information within indicated time frames, utilizing indicated formats. Critical Thinking:

Monitor activity in reception/waiting area and immediately seek assistance in the event observations indicate potential difficulty.
Immediately notify office and or clinic supervisory staff of patients whose personal or telephonic demeanor is loud, aggressive, and/or threatening.*

Available Shifts:

Monday ? Thursday / 3 or 4 pm to 9 pm / 20 ? 25 hours per week
Unit Clerk/ Saturday 8:00am -4:30pm
Engagement Specialist/ Monday 9:00am- 2:00pm, Thursday 9:00am -2:00pm
Days and Hours needed: Monday -Friday 8:30am -5:00pm
