Administrative Assistant Job Opening in Flushing, New york - Summary
Under the direct supervision of the Human Resources Representative this position provides administrative and secretarial support for the audit and tax departments. In addition to typing, filing and scheduling, the AA will also perform duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The AA will be expected to answer non-routine correspondence and assembles highly confidential and sensitive information. The AA will deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the firm.
General
Monitor staff attendance for all departments
Update outlook and calendar for the Managing Partner and Director
Scheduling of as needed
Take meeting minutes
Maintenance of team score cards
Take messages and deliver/notify appropriate staff members
Check Requests and Check Deposits
Prepare Invoices/ Billing as assigned
Serve as resource to staff on firm policies and enforce firm policies
Preparing e-mails, memos, and other formal written correspondence as needed
Maintenance of staff CPE records
Maintenance of accurate list of all equipment issued to staff (laptops, desktops, monitors, etc.)
All other duties as they are assigned by the Managing Partner and HR Representative
Office Operations & Support
Ensure proper working order for firm?s equipment (computers, faxes, copy machines, etc.)
Ordering and maintaining adequate office supplies
Handling of all incoming and outgoing mail
Copying and binding final reports
Maintenance of firm?s accounting library
Firm certification applications and renewals monthly, quarterly, and annually
Marketing:
Drafting of proposals for new bids
Compiling information for and drafting of news letter
Drafting new content for website
