Special Programs Coordinator Job Opening in Newport Beach, California - The Special Programs Coordinator is responsible for the day-to-day management and delivery of the NFL Brain and Body and Milestone Wellness Assessment programs. They are responsible for every aspect of the patient experience on exam days, ensure all pre-exam scheduling and documentation are completed and work directly with physician providers to ensure post-exam reporting is completed on time. The Special Programs Coordinator communicates directly and regularly with stakeholders at the NFL Players Association, Cleveland Clinic, Hoag and affiliated providers to ensure all parties are informed of updates and changes to the schedule, manage the logistics, transportation and accommodations. The Special Programs Coordinator is ultimately responsible for maintaining the service quality of all special programs and works in tandem with the Vice President of Client Services to mitigate services misses even when issues arise that are out of his/her control. The Special Programs Coordinator should have significant customer service background, be able to multi-task a range of duties simultaneously, have strong computer and writing skills and be very comfortable talking to a range medical and non-medical professionals.
Oversee the Patient Experience
Ability to build rapport with former players, spouses and family by phone and email prior to arrival during the pre-exam phase
Create an up-beat, positive environment that is welcoming to players and creates a positive feeling for them relative to the experience (in the office and on the phone)
Continually communicate with other providers to ensure a smooth flow to the schedule OR to make any schedule adjustments that may be needed based on clinical findings
Engage with the patient to address any requests or concerns; resolve those that can be expeditiously and ensure all others are handled in a timely manner
Coordinate with team members and VP of Client Services to continuously monitor the patient experience; recommend and implement enhancements and corrective actions as needed to ensure the delivery of 5-star service with every interaction
Oversee Scheduling
Work with counterparts at Cleveland Clinic to schedule individual participants and manage physician availability schedule for Hoag site
Work with NFLPA and Balboa Bay Resort to ensure transportation and accommodations are accurate and all pick-up and drop-off's locations are correct and scheduled
Coordinate and conduct all pre-exam calls/interviews and schedule post-exam follow-up physician calls
Ensure all physicians and providers are aware of upcoming exams by managing the master schedule and providing appropriate medical information to providers and administrators.
Coordinate any additional follow-up calls as needed based on NFLPA clinical protocols
Schedule and pick-up all meals at on-campus cafe
Manage the Medical Information Process
Work with counterparts at Cleveland Clinic to ensure general medical history questionnaire is obtained in a timely manner and distributed to all Hoag providers
Send all pre-exam questionnaires to players and ensure timely completion
Walk through all "intake" documentation with player and answer any applicable questions regarding privacy, access to records, etc.
Gather final physician/provider reports from each clinician in allotted time to ensure report can be generated and shipped to player prior to physician follow-up call
Reporting and Documentation
Obtain and complete all necessary clinical data for reporting by Cleveland Clinic
Compile and store all administrative and clinical information in player files for ease of access
