Project Assistant Job Opening in Hallowell, Maine - Function:
Provides administrative and project support to Project Managers and other Engineering staff, in serving the needs of both internal and external clients. Serves as the liaison between Project Managers, customers, and vendors to accomplish tasks related to client service and project management. Ideally, part of each workweek may be spent providing administrative assistance at a local Client's office.
Responsibilities:
Job responsibilities include, but are not limited to the following:
Provide administrative support to the Engineering group in various capacities
Provide direct administrative support for local Clients
Handle inquiries from clients and subcontractors in the Project Manager?s absence
Coordinate the production of proposals, prepare presentations, and support marketing initiatives
Coordinate certain project logistics including travel, shipping and equipment arrangements
Work directly with Project Managers in preparing for industry trade shows and events
Prepare and be responsible for clear and tractable document control, as well as contract and subcontract administration
Attend meetings and synopsize outcomes and expectations for those in attendance as well as others Knowledge, Skills and Abilities
Skills required:
Excellent written, verbal, computer, financial data, internal consulting and customer focused communication and presentation skills
Organizational ability and the capacity to manage multiple tasks, details and deadlines
Ability to effectively collaborate with colleagues at multiple management and business unit levels and locations
Will be expected to demonstrate proficiency with Microsoft Office - Word, Excel, and PowerPoint
Ability to work in a fast paced environment and take on additional responsibilities and challenges
Competency with project accounting software is preferred
Project management experience or training preferred
Requirements
Associates degree required; Bachelors degree preferred. Post-secondary education or demonstrated proficiency in, project management, accounting, paralegal services, or information technology plus a minimum of 3 years in a related position.
