Position Description Summary:
Supervises activities in the accounts payable function. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate records and control reports. Supervise the administering of the purchasing card program. Implementing the current purchasing card program into a more structured, cost efficient, organized, accountable, and resourceful purchasing program.
Principal Accountabilities (The following is intended to describe the general nature and level of work being performed. It is not an exhaustive list of all expectations.) :
Support and encourage team in adhering tough deadlines, respecting check-run dates, and meeting deadlines.
Review and provide supporting information for the branch P&L. Apply correct General Ledgers numbers to overhead invoices.
Review shipment files for accuracy and post accruals for month end closing. Submit journal entries as required.
Ensure department?s monthly close responsibilities are performed accurately and timely in accordance to established policy
Ensure assigned accounts are reconciled to date and properly reflect performance
Review all systems, structures, and processes to identify where improvements can be made to enhance operating and financial performance
Suggest new ways to prevent accounts from unnecessary force settling and providing strong and conclusive documentation support for arbitration claims
Perform bi-weekly or monthly reports to management reflecting team progress
Review aging report to determine Days Payable Outstanding trends and appropriate pursuit of over paid accounts
Oversee purchasing records and review spending pattern per users
Supervise all employee accounts to date to include department, personal information, and receipt submittal
Ensure a safe working environment through consistent practice of safety programs and procedures
Select and place staff, ensure staff receives training for job activities, and define specific job assignments. Manage performance to ensure required levels of productivity and achievement of organizational objectivesThe individual in this position must be capable of performing all of the essential functions with or without a reasonable accommodation.
Education, Knowledge, Experience and Skills Required for Position :
This is a supervisory position.
Exceptional interpersonal and analytical skills required.
Bachelor?s degree or equivalent strongly preferred.
Generally prefer 2-4 years of related supervisory experience.
