Work Schedule; Monday - Friday 8:00am to 5:00pm
Essential Duties and Responsibilities Under general supervision, performs accounting support and general administrative work in the preparation, processing, maintenance and verification of accounting documents, records, and reports such as payroll, accounts payable, accounts receivable, fixed assets, general ledger, procurement (purchasing)and/or budget, and performs related duties as assigned by the CFO.

Payroll
Process bi-weekly payroll utilizing a payroll software, to include compiling payroll data such as information downloaded from the electronic time keeping system, notices of garnishments and other liens, paid leave usage, employee benefit and savings plan deductions, and other related pay information; prepare payroll funding sheet
Review timecard against work schedules and work with appropriate department(s) and/or supervisor(s) to resolve timecard exceptions
Update and maintain the prorated salary analysis; Microsoft Access Database is used to monitor work hours vs. paid hours throughout the year
Distribute payroll checks to the appropriate programs and departments
Review, compare and reconcile insurance invoices to the employees? payroll deductions to ensure invoices and deductions are accurate and complete; communicate any discrepancy to HR and Supervisor; prepare purchase requisition/order to vendors
Review and analyze General Ledger to ensure liability accounts are correct
Maintain paid leave accruals and usage for eligible employees
Set up, monitor, and submit payment for garnishments, support orders, tax liens, and other related salary deductions
Update and maintain online retirement software; prepare/generate contribution report and transmit electronically to 401k plan
Update and maintain worker?s compensation audit worksheet
Prepare general journal entry related to the payroll functions
Complete requests for verifications of employment/income for active employees
Prepares, reviews and reconciles quarterly and annual federal and state payroll tax reports, including processing and distributing W2s corresponding reports within mandated time frames
Generate, review, and distribute bi-weekly, monthly, quarterly and/or annual reports
Provide support and back up to other Accounting Associate
Other duties as assigned by CFO such as bank reconciliations, budget, , agency-wide projects/activities and others.
Minimum Requirements:
Associates Degree in Accounting or equivalent from a two-year college or technical school AND Minimum three (3) years related accounting experience
Equivalent combination of education and experience considered.
Intermediate to advanced proficiency in Microsoft Excel and Microsoft Word
Minimum two (2) year experience with payroll processing and financial accounting software
Minimum of one (1) year experience with ADP and MIP Abila, preferred
Knowledge of methods, practices, documents and terminology used in financial and accounting record keeping
Fundamental accounting and internal control policies and procedures
Practices and procedures of basic governmental budgeting and accounting, preferred
State and federal policies, laws, rules, procedures and practices pertaining to payroll, time reporting, benefit plans, accounts payable, accounts receivable, fixed assets, reporting, preferred

Ability to utilize office equipment such as personal computer and associated software such as: Microsoft Word, Excel, and other payroll and financial accounting systems.

Make calculations, tabulations and review accounting and related documents timely and accurately

Prepare clear and accurate financial records, reports and statements
Establish and maintain highly effective working relationships and teamwork with staff, client, vendors, partners and the general public

Essential Physical Functions:
Incumbent is regularly required to walk, sit, use hands and fingers to handle or feel objects, tools or controls; reach with hands and arms; and talk and hear. Occasionally required to stand, climb, balance, and stoop, kneel, crouch or crawl.
Regularly lift and/or move up to ten (10) pounds and frequently lift and/or move up to twenty five (25) pounds. Specific vision abilities required including close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
