Executive Assistant -- Real Estate Office Job Opening in los angeles, California - Executive Assistant -- Real Estate Office Prominent & Established international real estate investment and development company seeks smart, motivated and experienced full-time executive assistant to provide support to real estate office & CEO. Applicant will work closely with CEO, collaborating, and processing tasks toward goals in the company. Individual must be sharp, energetic and willing to work extra hours if required. Minimum 4 years of experience working for a real estate company as an executive assistant, agent, or any area that would afford extensive knowledge of real estate and real estate transactions is required. Job Requirements: * Full Internet, Software & General Computer Competence: including Adobe PDF Professional, Microsoft Word, Excel, Outlook, Multiple Listing Service (MLS) other listing services such as Loopnet, etc., MS Access proficiency is preferred but not required * Real Estate license is not required but preferred * Strong Background in Real Estate transactions is a must and background in Finance, Economics and Accounting is a plus * Familiarity with the Real Estate purchase and sale process is required * A Full Time Commitment is required for this position Personal Qualities: * Extremely Organized * Positive, punctual and professional demeanor/attire * Quick learner with strong writing and communication skills * Comfortable working in a fast paced environment where multi-tasking is required * Ability to prioritize project/tasks based on urgency and ever-changing deadlines is mandatory Job Responsibilities: * Oversee daily operations including answering phones and scheduling appointments: * Coordinate and manage multiple projects and calendars on Outlook for completion * Prepare mailings and presentation materials * Update and manage multiple databases * Oversee, provide training and coordinate with overseas offices and managers Tenant/Vendor management: * Assist in preparing contracts for leasing, selling and purchasing of Real-Estate. * Communication and customer service with commercial and residential tenants, including escrow and Title Companies * Manage vendors and monitor their work closely to ensure quality and deadline completion * Monitor vendor bids for competitive pricing and recommend appropriate actions to management * Monitor payments from leases as well as invoices from vendors/contractors and coordinate with accounting department los angeles ca california
