Reports to: Chief Financial Officer
Basic Function: Assists in maintaining financial records and ensuring that financial transactions are properly recorded. Ensures the accuracy of entries to ledger accounts and reconciles subsidiary ledger accounts to the general ledger. Compiles financial data to aid Chief Financial Officer in the preparation of balance sheets, profit and loss statements and other financial reports. Assists in analyzing current costs, revenues, financial commitments, and obligations incurred to predict future revenues and expenses.
Specific Duties:
Document and ensure proper keeping of financial records, making use of current technologies.
Prepares asset, liability, and capital account entries by compiling and analyzing account information.
Documents financial transactions by entering account information.
Substantiates financial transactions by auditing documents.
Reconciles financial discrepancies by collecting and analyzing account information.
Maintains accounting controls by preparing and recommending policies and procedures.
Prepares payments by verifying documentation.
Complies with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
Prepares special financial reports by collecting, analyzing, and summarizing account information and trends.
Collect sales taxes from customers and remit them to the government
Ensure that receivables are collected promptly
Record cash receipts and make bank deposits
Conduct a monthly reconciliation of bank accounts
Conduct monthly reconciliations of all subsidiary accounts to ensure their accuracy
Assist CFO with any audit preparation
Calculate and issue financial analysis of various financial statements
Maintain an orderly accounting filing system
Maintain the annual budget
Calculate variances from the budget and report significant issues to management
Comply with local, state, and federal government reporting requirements
Process payroll in a timely manner
Knowledge of Generally Accepted Accounting Principles(GAAP).
Calculate and submit company 401k deferral and match elections.
Maintains financial security by following internal controls.
Tag and monitor fixed assets
Assist with the preparation of corporate expense reports and travel as needed
Reconcile the corporate credit card after each new cycle
Record all vendor invoices and employee requisitions
Enter payments for invoice
Verify that transactions comply with financial policies and procedures
Minimum Qualifications:
Formal Education required: Associate's or bachelor's degree in business, finance, accounting, or a related field; excellent mathematical skills; understanding of data privacy standards; integrity; honesty; customer-service skills; solid communication skills, both written and verbal; familiarity with business principles and practices; superior attention to detail; organizational skills; planning skills; problem-solving skills; analytical skills; critical thinking skills; computer skills, particularly with spreadsheets and calculation software. Knowledge of GAAP.
Minimum of 2 years experience preferred.

Supervisory Responsibility
The Finance Assistant role has no supervisory responsibilities.
Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.
