The person in this position will be responsible for full-cycle accounting, and have the ability to juggle several organizational tasks at once. Their responsibilities include managing all aspects of general ledger, accounts payable, as well as handling in-house payroll, credit card statements, reconciling accounts and cash flow. They will also handle other miscellaneous duties.
We need someone who has extensive experience with in-house payroll, financial statements, bank reconciliation, and general bookkeeping. With experience calculating and submitting all Federal and State taxes including sales, payroll, reemployment and other quarterly payments, as well as being able to track child support. HR responsibilities include hiring paperwork, enrolling workers into medical benefits, and other programs.
Advanced knowledge of computer software, particularly QuickBooks and Microsoft Office, is essential, including the ability to use extensive spreadsheets and input data and formulas. Excellent communication skills and organizational abilities are necessary and the ability to assist the sales staff in the areas of paperwork, daily reports, deposits, and general computer questions.
Responsibilities:
Weekly accounts payable including: purchase orders, vendor record maintenance and tracking co-op
Reconcile bank accounts and petty cash accounts
Record cash recipes and make bank deposit when necessary
Weekly General Ledger
Chart of Accounts
Monthly journal entries with appropriate backup
Weekly bank reconciliations and various monthly/quietly G/L account reconciliations
Calculate bi-weekly payroll and issue payment to employees
Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability and nontaxable wages
Remit payroll taxes, sales tax and use tax
Comply with local, state and federal government reporting requirements
Create financial statements and related financial reports
Collect information as needed for the annual audit
Maintain a coherent system of accounts, with an organized filing system
Calculate variances from the budget and report significant issues to management and monitor cash level
Maintain human resource records by maintaining applications, resumes
Verify candidates background by contacting references, background checks, and checking driving records
Enroll new employees by issuing forms and applications including direct deposited and verifying completion of all paperwork
Help employees by explaining benefit programs and paperwork
Avoid legal challenges by complying with legal requirements
Maintain manager an employee confidence by keeping human resources information confidential
Purchase supplies and equipment as authorized by management
Provide clerical and administrative support to management as requested
Monitor office supply levels and reorder as necessary
Computer skills such as reformatting, reloading and updating
Supervise accounting, deposits and transactions of sales staff
Learn to use the company POS system to input data, pay invoices monitor accounts, and inventory
Maintains various reports in Excel spreadsheets
Occasionally type write-ups for warehouse manager and other general paperwork
Keep an eye on the employees in the warehouse, report issues and/or help them when necessary
Communicate and work with sale staff, delivery drivers, warehouse manager, owners.
Experience required: Using QuickBooks for full-cycle accounting including reconciling bank and credit card accounts, in-house payroll, all taxes that are due on a monthly or quarterly basis. It is necessary to know how to create and use formulas in Excel spreadsheets. Full-time position, compensation based on experience.
