General Description
CAPA is seeking a focused and detail-oriented Billing to handle our student and university accounts as well as to provide support to other accounting members of the Finance team in our Boston and London offices. This is a Boston-based position.
Key Responsibilities
Billing Duties:
Create and bill invoices to universities and students.
Communicate and request approval from Program Management before sending any invoices.
Maintain individual and group billing tracker.
Make outbound collection phone calls and follow up with email messages to collect past due payments in a proactive manner.
Document client communications and subsequent actions, maintaining a continuously updated tracking system.
Provide updated payment and billing status to management on a weekly basis.
Answer and address university/student inquiries and issues in a timely manner.
Prepare checks for deposit, email deposit report, and make bank deposit daily.
Monitor WIRE payment and update tracker and NetSuite for payment received daily.
E-mail payment receipts to students and universities upon receipt.
Follow up on outstanding invoices based on due dates.
Bill for Housing Deposit via credit card.
Process refundable housing deposit once the program is over.
Enter all credit card payments in NetSuite and update tracker for payment received.
Refund credit request on weekly basis and update NetSuite for refunds.
Nurture and maintain positive student and university relationships.
Other Duties:
Responsible for writing and collecting all payment agreements from students.
Collect and update tracker for Financial Aid Disbursement Forms.
Contact financial aid offices of the universities to determine flexibility re: disbursement date.
Contact students for gap payment in order to collect postdated checks.
Support the Finance department and operations staff as needed.
Skills and Experience
Required
BA/BS degree.
Exceptional customer service experience (internal and external).
Excellent verbal and written communication skills.
Strong organization skills and attention to detail.
Ability to successfully juggle multiple projects simultaneously, work under tight deadlines and adapt a flexible approach to meet the needs of the business.
Flexibility with regard to job duties and the ability to learn new things.
Ability to work well independently as well as across departments.
Ability to accept feedback and direction but also to contribute to the big picture.
Ability to keep all financial data confidential.
Preferred
Study abroad experience is a strong
Proficiency working with Microsoft Office and NetSuite is highly desired.
Hours
This is a full-time role. Standard hours are 9:00AM to 5:30PM, Monday to Friday. Due to the nature of the study abroad field, additional time beyond regular office hours is to be expected on occasion in this role.
