Position Summary
Utilizes stellar interpersonal, communication, and organizational skills to provide administrative support to COO, and to manage all client licensing agreements. As first in line for incoming calls, this position serves as the public face of the company, delivering first impressions on our behalf. Additional administrative support as needed for Sales and Client Success teams.
Responsibilities
Works with Executive VP/COO to oversee and manage all licensing agreements; requires positive working relationship with Accounting Associate to coordinate annual licensing and invoicing tasks.
Works with Executive VP/COO and Executive C.A.R.E. Producer on licensing and annual payments for C.A.R.E. Channel musicians.
Answers incoming phone calls with warmth, confidence and respect to ensure a positive company impression with each communication.
Prepares packets and mailing labels for sales, client success and executive teams as needed.
Prepares and ships C.A.R.E. at Home DVD orders.
Assists CEO and COO with calendaring, correspondence, and travel arrangements as needed.
Sorts and distributes incoming mail.
Orders office and kitchen supplies.
Knowledge, Skills, and Abilities
Skill in detailed contract review and basic legal writing
Ability to organize and manage CRM task calendar to advance tasks through to completion
Ability to answer phone in a warm, confident, professional manner
Ability to prioritize rapidly and balance the time requirements of various tasks to meet deadlines
Ability to work well with others in a team-oriented environment, demonstrating flexibility, patience, courteousness and respect toward all team members
Knowledge of standard office administrative practices and procedures
Knowledge of computer programs including Microsoft office applications
Skill in typing and general computer literacy
Education, Experience, and Certification
Three or more years? experience in an executive assistant capacity, or equivalent
Previous experience in legal writing and contract review, preferably including completion of legal writing courses; paralegal certification desired
Minimum of two years of college or equivalent educational training beyond high school degree
