Job Purpose
The Back-Office Manager position is responsible for managing the day-to-day Back-Office operations. The Back-Office Manager will maintain Federal, State, Health Plan and other regulatory Back-Office compliance. This includes, creating and implementing policies and procedures. The Back-Office Manager will also be responsible for Patient Satisfaction in relation to the Back-Office. Additionally, the Back-Office Manager will input and monitor internal performance metrics. Responsible for directing and coordinating the overall functions of the Back-Office in compliance with the philosophy, policies, procedures and goals of Abrams Eye Institute. This position is expected to uphold the mission and values established by the organization. The Back-Office Manager reports to the Practice Manager and the Director of Business Development.
Qualifications and Requirements
· Bachelor?s degree in a Management, Biology or Business or Healthcare related field (preferred)
· 2 years of supervisory experience
· Effective oral and written communication skills
· Highly organized
· Exceptional patient satisfaction skills
· Problem Solving
· Data Analysis
· Competent in Office, Word, Excel, PPT, Adobe Acrobat, EHR, etc.
Role and Responsibilities
Back-Office, Management, Patient Satisfaction and Performance Metrics
1) Provides leadership on a daily basis for the delivery of health services to ensure Back-Office practices are in compliance with regulatory agencies.
2) Supervises Back-Office personnel, which includes scheduling, work allocation, time sheets, paid time off, problem resolution, etc.
3) Evaluates performance, productivity, coaches and implements disciplinary action when necessary.
4) Works collaboratively with leaders in the management and development of patient satisfaction, strategic planning and goals.
5) Drafts and enacts Front-Office policies and procedures, guides, etc.
6) Programs and troubleshoots Back-Office computer hardware, software; instruments and equipment, including the patient portal.
7) Audits and monitors Back-Office processes and reporting for efficacy and efficiency.
8) Coordinates research studies, including information, scheduling, forms, uploads, etc.
9) Completes and processes Family Medical Leave Act (FMLA), Disability forms and other patient and Provider letter requests.
10) Inventories supplies for the Back-Office and Surgical Suite.
11) Demonstrates knowledge of and supports mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and the code of ethical behavior.
12) Performs other duties as assigned by the Company.
Supervisory Responsibility
Oversees Back-Office department and team members.
