Sales and Executive Group and Meetings Coordinator Job Opening in Madison, Wisconsin - Description: The SSMC will be responsible for assisting the sales team in the planning, coordination and execution of group, transient and extended stay contract business. The SSMC acts as the liaison between the client, sales team, food-beverage department, and operational staff to ensure the seamless execution and delivery of service.
Specific responsibilities, at a minimum, will include:
Works quickly in high-pressure environment and ability to handle stress.
Collaborates well with others and recognizes the importance of being a part of a team
Works with the sales team in the handling of group and event contracts, extended stay reservations, corporate travel VIP needs and administrative functions as requested by the director of sales.
Handle ?express? meetings and ?pop-up? events (groups of 10 or less) arriving within 30-days or less.
Assist Reservations Lead Agent with the processing of group rooming lists
Maintains organized group files and notes
Timely response to client and guest requests
Establishes follow-up communication on all finalized sales contracts
Act as onsite contact for all assigned groups, as needed
Work with Sales Team to accurately quote and charge all deposits; receive and process deposit payments
Anticipate and resolve guest service concerns by providing solutions in a prompt and professional matters
Acts as a liaison between Sales and the Guest while following-up and keeping all appropriate Team Members aware of pertinent informational changes or any irregularities for assigned groups
Is consistently available to assist with special projects and events and willingly accepts related responsibilities.
Ensures communication is conveyed to all appropriate areas within the Hotel and resolves any outstanding issues or problems to ensure a quality product delivery and guest satisfaction.
Follow Standard Operating Procedures and company policies
Acts as a liason between the sales and rooms department for VIP requests
Participates and ensures accurate note taking for all pertinent sales and marketing meetings
Job Requirements: The specific job requirements are:
Combined 2+ year's previous hotel and/or catering/event experience
High School diploma required
Excellent personal computer skills with experience in Microsoft Office software and at least one (1) year experience with Delph, Opera and/or comparable convention management software
Possess above average verbal and written communication skills
Must possess excellent organizational skills
Ability to meet deadlines and handle difficult situations
Ability to handle multiple tasks and priorities
Use analytical skills for measuring business potential and value to the hotel
I nteract with all levels of customers and hotel management
