Administrative Assistant Job Opening in South Haven, Michigan - GENERAL STATEMENT OF DUTIES: To perform a variety of tasks involving administrative and office management activities; to perform general office activities and handle designated administrative and management tasks independently as required.
TYPICAL EXAMPLES OF WORK: An employee in this class may be called upon to do any or all of the following: (These examples do not include all of the tasks which the employee may be expected to perform.)
Answer telephone, take messages and direct calls to appropriate person
Open, date and sort mail
Perform responsible, administrative, clerical, office management and public contact work.
Make appointments, remind Executive Director of scheduled appointments and activities and assist office visitors.
Maintain office files, records and computer backups.
Type correspondence, records, reports, Policies, dwelling leases, meeting agendas, meeting minutes, etc.
Familiar with all office equipment, such as: computers, printers, typewriter, copy machine, calculator, fax and other equipment as required.
Responsible for tenant accounts, process rent receipts, tenant rent statements, tenant financial reports.
Prepare purchase orders for materials and equipment.
Prepare and make bank deposits, transfers and other bank transactions and reconcile bank statements.
Prepare checks for payment on all bills and code to proper accounts.
Write work orders when maintenance problems are reported.
Receive rent payments and process receipts accurately.
Maintain accurate records of tenant accounts and activities and follow through with appropriate notices, etc.
Prepare and/or copy and submit accurate information as required to the Housing Commission?s fee accountant for the monthly financial statements, including general ledger and tenant accounting.
Assist applicants for housing with application process including review of information submitted, conducting in-depth interviews and securing required verifications.
Assist with tenant move-ins by preparing dwelling leases and complete all new tenant processing.
Conduct interim rent reviews including figuring income and deductions, determining rent, getting verifications and processing required forms, etc.
Assist with annual resident reexaminations including review of information submitted, figuring income and deductions, determining rent, conducting in-depth interviews, securing required verifications, etc.
Proficient in Microsoft Word and Excel.
Perform related work as required.
Maintain accurate records of tenant?s Community Service hours.
Maintain accurate records of ?No Income Worksheets? for tenants.
ASSISTANT
DESIRABLE QUALIFICATIONS FOR EMPLOYMENT:
Ability to multitask.
Considerable knowledge of modern office and administrative practices and procedures.
Considerable knowledge of Business English, Commercial subjects, Accounts Receivable and Payable and office management.
Considerable speed, skill and accuracy using word processing, typewriter, calculator and other office machines.
Initiative and resourcefulness in handling problem situations.
Ability to meet and work effectively with coworkers, tenants, officials and the general public.
Ability to interview applicants for housing in a professional and effective manner.
An employee in this class, upon appointment, should have as a minimum, the equivalent of the following training and experience:
Graduation from an accredited high school, including or supplemented by courses in computers, typing and commercial subjects..
Some further education in an accredited Business School or Junior College including courses in administration, clerical, bookkeeping, computers and other commercial/business subjects.
Reasonable experience working with the public and in performing secretarial, clerical and office management work, with responsibility for individual initiative and judgment.
