Job DescriptionThis position will have complete responsibility for overseeing and managing the Real Estate Investments, which includes (i) maintaining the books and records for various property and LLC entities through a single Property Management LLC, (ii) overseeing property managers, (iii) monitoring leases for renewals and rate adjustments, (iv) participating in new property acquisitions, and (iv) other activities as necessary. In addition, responsibilities will include maintaining the books and records for the multi-family development company and separately for the LLC owner of any multi-family development project during the construction period. Finally, responsibilities will include working with the CEO on various projects as needed.
Job Duties ? Real Estate
Maintain books for various rental properties ? AP, AR, create monthly financials
Bill and collect certain utility pass-through items from single family tenant
Follow up with residential tenants when rent is late
Receive calls from tenants regarding property issues (needed repairs, questions, etc.)
Reconcile various bank accounts
Reconcile third-party property management statements monthly and monitor expenses associated with the properties being managed
Coordinate bank transfers between depository and disbursement accounts (for check runs and loan drafts)
Coordinate property maintenance with various service vendors
Participate in weekly calls regarding multi-family developments
Attend monthly meetings to review multi-family financials
Communicate public accounting firm regarding tax notices received
Issue 1099s annually
Reconcile pass-through items as additional rent according to lease agreements (typically includes reconciling property tax payments and shared expenses)
Prepare lease amendments
Prepare lease summaries to become familiar with lease terms and be proactive in obtaining renewal documents and/or alerting leasing brokers when properties will be vacant
Facilitate set up of new companies in Timberline / Sage 300 accounting software
Prepare LLC binders/ update at necessary
Prepare various schedules, documents, reconciliations, etc. associated with different things going on with properties
Maintain filing system
Job Duties - Special Projects
Issue checks for bills & maintain check register
Make timely estimated tax payments, quarterly
Create and maintain monthly schedule for Charitable Foundation account balances for the purpose of calculating the required annual distribution
Keep CEO organized throughout his various projects, reminding him of pending items and gathering any needed
Maintain receipts file and reconcile to bills
Timely completion of expense reports
Experience, Skills & Knowledge
The most important qualification for this job is the ability to think and anticipate. To understand the ?why? of things to be able to improve them.
Accounting knowledge and experience is necessary, a CPA is not
Real Estate property management / development experience helpful
Advanced Excel & Word skills
