Position Overview
We are excited to be looking for an energetic and welcoming Receptionist/Office Manager to grow with our company who will be responsible for handling administrative and accounting duties within our operations division. The ideal candidate will possess a high-level of competency with customer service, accounting principles and front-end management. Candidate must possess good knowledge of office administration and general customer service principles for our fast-paced, growing organization.
Position & Responsibilities:
Handling day-to-day office tasks, such as:
Welcome guests and employees into our organization and assist with all their daily needs
Establish team atmosphere through leadership and employee development
Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, and scheduling
Answering the telephone
Dealing with incoming and outgoing mail and general emails.
Ordering of equipment, materials and office supplies.
Scheduling meetings and luncheons, in addition to other travel arrangements as needed
Coordinating between operating units in resolving day-to-day administrative issues.
Communicate with other divisions, fellow employees, venders and management.
bookkeeping experience including bank reconciliations, deposits, expense management and accounts receivables reconciliations.
Undertake and assist in the recording and processing of invoices, receipts and payments.
Assisting with monthly/quarterly closing activities (Expenses review and classifications, monthly journal entries, issuing and receiving POs, reviewing invoice entries for payables, and other duties).
Annual state filing and registrations
Perform account reconciliations.
Create, edit, and update spreadsheets.
Requirements & Qualifications:
Strong communication skills.
High level of organization, ability to prioritize, and be proactive in seeing and solving problems.
Candidate must be proficient in Excel and Acpac/Sage 300.
College diploma or university degree is preferred but not required, experience in equivalent role will be considered
3-5 years experience in an accounting administration role/office environment.
2 years experience in a customer service role.
Exceptional written and verbal communication skills.
Strong documentation skills.
Keen attention to detail.
Ability to perform work accurately and thoroughly.
Ability to utilize available time to organize and complete work within given deadlines.
Proficiency in Microsoft Office suite
High level advanced skills in accounting
Experience with scheduling, budgeting and payroll
Advanced computer skills
Supply management experience
Comfort with fast-paced environment
