The Office Manager duties may include some receptionist duties and some of the bookkeeping responsibilities. This position is responsible for offering a positive first impression of the facility team and maintaining an accurate accounting of facility financial transactions which includes quality customer service, which includes meeting the residents? physical, mental, emotional and spiritual needs. In this facility each resident, family member, visitor and team member is considered your customer and is vital to the success of our organization.
The Office Manager is responsible to the Facility Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintains independence, safety and dignity of all residents at all times.
Respectfully interacts with all residents, family members, visitors and team members. Maintains a positive customer service relationship practicing honesty and integrity in all aspects of your job performance.
Maintains a positive, pleasant manner at all times with the realization that your work environment can be stressful and demanding. Stress should be managed in a constructive manner and assistance should be accessed through your immediate supervisor.
We maintain a home like atmosphere but it is important that you refrain from discussing personal issues with the residents, family members and team members.
You are the public?s first impression of the facility this also includes residents, family members, visitors, and other team members. It is critical that you represent the facility in a positive, pleasant, cheerful manner on the phone or in person.
Is capable of professionally responding to multi-line telephone calls in a timely manner with frequent interruptions. Is able to relay messages accurately.
Is responsible for completing and maintaining all daily, weekly and monthly bookkeeping accounts, invoices and statements in accordance to policies of the organization. Handles resident and facility monies with accuracy and integrity. Performs bank deposits as needed. Must be able to type correspondence, file, and store all necessary forms and files in an organized manner.
Is responsible for calculating payroll and maintains accurate records of time cards and employee files.
May be called upon to market the facility to prospective residents and their families.
Reads, writes and is able to verbalize understanding of written documentation, instructions, medical records and all policies, procedures and emergency information manuals of the facility. Capable of effectively communicating with residents and team members.
Keeps the resident?s environment safe by picking up unsafe items on floor and mopping spills, positioning call cords within resident?s reach, removing all broken or hazardous objects from common areas and resident?s room, maintaining full knowledge of safety alarms and co-operating with all safety policies and procedures.
Follows and understands infection control policies and procedures.
Must be able to stand, walk, stoop, bend, and sit most of their assigned shift.
Maintains confidentiality of resident?s personal information in and out of facility. Protects and supports resident?s rights.
Maintains a professional appearance by dressing in required dress protocol. Personal cleanliness is a requirement for both you and the resident for optimal health and well-being.
Creates and environment receptive to change for improvement of quality resident activities.
Supervise the Housekeeping department
Maintain volunteer staff to handle reception desk.
ADDITIONAL RESPONSIBILITIES
Is responsible for frequently checking the work schedule for days and times to report to work. Must also follow proper procedure for requesting days off. Attends scheduled staff meetings and in -service training.
Assists in other areas and/or departments when necessary or requested or assigned by management.
Performs job tasks with few mistakes.
Maintains efficient use of time.
Maintains a current driver?s license and has the ability to drive safely.
Each team member is constantly and continually striving to maintain resident and team member satisfaction at its most optimal level.
QUALIFICATIONS
Previous experience as an Office Manager is desirable but not required.
A genuine compassion for the elderly and disabled.
Energetic in promoting a team spirit.
Is able to work independently without direct supervision by following all facility procedures and guidelines and using good judgement and common sense.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
