General Summary:
This position serves as one of the primary contacts for the College?s accounts payable and asset management processes and supports the entire campus community.
Responsibilities and Duties :
Accounts Payable processing and management:
Responsible for performing all task and duties within the MassBay Community College (MBCC) accounts payable cycle for three campuses, including but not limited to the following tasks:
Manage weekly payment cycles, including: processing of daily mail and email, review all invoices for appropriate documentation and approval prior for payment, processing vouchers in PeopleSoft , matching payments to supporting invoices, preparing batch for review and signature by the controller and mailing;
Process e-payables; procurement card and Massachusetts Management Accounting and Reporting System (MMARS) transactions;
Educate community and enforce college fiscal policies and procedures related to accounts payable processing;
Research payments or payments discrepancies and proactively pursue and resolve billing disputes with vendors;
Investigate and respond to inquiries from campus staff or vendors related to status of vendor payments and assist college community with obtaining information from files;
Obtain and reconcile monthly vendor statements and track down open invoices;
Maintain all hardcopy and electronic vendor files for past and present fiscal years;
Maintain communication with vendors, faculty, and staff to ensure all accounts are current;
Reconcile the accounts payable ledger to the general ledger monthly;
Provide year end reports for the State and in preparation for annual audit related to accounts payable;
Review vendor payments and prepare 1099/1096 annual reporting requirements;
Collaborate with related fiscal and business operations staff members to provide excellent accounts payable customer service.
Inventory database processing and management:
Responsible for performing all task and duties within the MBCC asset management system for three campuses, including but not limited to the following tasks:
Maintain fixed assets inventory listing in PeopleSoft Asset Management module;
Provide reports to asset custodians;
Work with other departments to ensure asset location and description information is accurately tracked in the system;
Provide year end reports for the State and in preparation for annual audit related to inventory and asset management.
Other duties:
Develop, implement and continuously update accounting procedures by analyzing current procedures and recommending changes;
Updates job knowledge by participating in educational opportunities;
Provide excellent customer service to internal and external customers of the fiscal office;
Assist in annual and off-cycle audit preparation as part of the fiscal team;
Contribute to ERP system testing for upgrades and implementations;
Other duties as assigned.
Minimum Qualifications:
Applicants must have at least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two yeas of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing, or (C) any equivalent combination of the required (A) experience and the substitutions below.
Substitutions:
An Associate?s or higher degree with a major in accounting, business administration or business management may be substituted for the required (A) experience.*
Successfully completed education in accounting or business administration in a recognized business school or school of accounting may be substituted for the required (A) experience on the basis of one year of such education above the high school level or six (6) months of the required (A) experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: No substitution will be permitted for the required (B) experience.
Preferred Knowledge, Skills and Abilities:
Associates Degree in field or two years of related work experience;
Possess working knowledge and experience of accounts payable life cycle and expertise in data processing, applicable general ledger system;
Proficiency with standard business software tools, including spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems, including the Microsoft Office suite of applications;
Possess basic accounting principles knowledge;
Strong problem solving skills, documentation skills, research and resolution skills, data analysis and multi-tasking skills;
High degree of accuracy and attention to detail;
Well organized and able to work in a fast paced environment;
Function as a team member and able to work independently and exercise sound judgement;
Ability to learn quickly the financial structure and financial procedures and systems of the college;
Excellent communication and customer service skills;
Experience with PeopleSoft enterprise software or similar large, complex software applications;
Experience with Massachusetts Management Accounting and Reporting System (MMARS) transactions.

Salary Range: AFSCME Grade 15 $ 41,830.36 annually
Appointments from outside the bargaining unit begin at Step 1 of the range.
