Program Coordinator / Executive Assistant Job Opening in Nashville, Tennessee - The Ryan Seacrest Foundation (RSF) is a non-profit organization dedicated to inspiring today?s youth through entertainment and education focused initiatives. RSF?s main initiative is to build broadcast media centers, named Seacrest Studios, within pediatric hospitals for patients to explore the creative realms of radio, television and new media. RSF?s aim is to contribute positively to the healing process for children and their families during their stay by developing these centers to bring an uplifting spirit to the hospital community. We believe access to multimedia experiences will bring patients exciting and stimulating adventures to encourage optimistic thoughts during treatment. It is also important to us to reach out to the community and involve students from local journalism schools by providing them with the opportunity to gain first-hand experience in broadcasting, programming and operating a multimedia center.
We are currently seeking a Program Coordinator / Executive Assistant for our Nashville office. Title will be dependent upon the identified candidate's experience level. This position will work directly with the Executive Director/COO and will be responsible for but not limited to below activities:
Job Responsibilities:
Provide administrative support to the Executive Director/COO and other senior staff with preparing expense reports, scheduling calendar, organizing travel and itineraries, as well as answering Foundation inquiries and forwarding on to appropriate parties.
Support in the planning of all Foundation events, including studio openings, fundraisers, internal Board of Directors meetings and summits.
Work with Executive Director/COO to organize and maintain all Foundation projects and requests.
Maintain active Seacrest Studios hospital rosters and strong lines of communication with each hospital and studio.
Help development executive maintain all donation records and steward fundraising relationships.
Manage all of the Foundation?s Social Media accounts, oversee the posting on the website blog and execute creation of organization?s newsletters.
Maintain Foundation?s website and work with web consultant to ensure everything is functioning properly and up to date.
Assist with internal/external meeting preparation including conference room and audio-visual setup. Help create all corresponding collateral materials and agendas.
Help with the creation and delivery of all Foundation branded material and documents.
Maintain office tech support and work with any hired Foundation consultants.
Oversee Foundation?s contact email.
Other special projects as assigned.
Preferred / Required Qualifications
Minimum one year of administrative experience in a Not-For-Profit or Entertainment focused organization.
Innate passion in not-for-profit work.
Bachelors? degree preferred but not required.
Possesses strong oral and written communication skills and exceptional computer skills (MS Word, Excel, PowerPoint)
Possesses a highly developed understanding of Social Media (e.g. Facebook, Twitter and Instagram)
Previous experience writing professional blogs via WordPress and/or newsletters via MailChimp.
Able to work both independently and as part of a collaborative team, juggle multiple projects, and assume additional responsibilities over time.
Exceptional interpersonal skills with the gravitas and sophistication to interact with corporate sponsors, healthcare executives and entertainment partners.
Highly organized, with exceptional attention to detail.
Demonstrates sound judgment and ability to reach decisions independently.
Ability to develop solid, trusted relationships.
Possesses a sense of urgency and problem-solving ability.
Exemplary and positive customer service attitude.
Ability to maintain strict confidentiality standards.
