JOB TITLE: Executive Director REPORTS TO: CSNA Governing Board of Directors
EVALUATOR: CSNA Executive Board DAYS PER YEAR: 260 POSITION TYPE: Exempt
NATURE AND SCOPE OF JOB:
The Executive Director shall be employed on behalf of the Association by the Governing Board of Directors pursuant to such terms and conditions as established in the official position description. The term of the position coincides with the fiscal year of the Association.
The Executive Director is responsible to the Governing Board of Directors to effectively conduct affairs of the Association, including, but not limited to, day to day clerical tasks and work responsibilities with respect to the Association?s mission, goals, objectives and related policies.
Executive Director Essential Job Functions:
COMMITTEE SUPPORT
Executes all decisions of the Executive Board by providing necessary liaison and staff support to Committee Chairs and members, including but not limited to:
Executive Committee Meetings: Reports to and coordinates with the President.
Makes all arrangements for CSNA board meetings to include meeting room, meals and hotel
Prepares and distributes CSNA board meeting notices and processes
Set up all room arrangements for the CSNA board
Provides copies of materials to be reviewed during meetings as
Performs all other duties as
Coordinate and attend Governing Board Meeting and Orientation, assisting with:
Site coordination
Preparing meeting documents
Maintaining meeting minutes and distributing accordingly
Budget/Finance: Reports to and coordinates with the
Manages the finances of the Association. Keeps records for IRS filing and coordinates filing with the Accounting
Assists the Treasurer in monitoring the annual budget and long-range forecasts in conjunction with the Executive
Manages and executes investments and contracts of the Association as they are established by the
Processes payment for allotted funds in accordance with
Prepares budget reports for timely dissemination for all Board meetings and audit reports and requests of the Treasurer.
Assists with annual budget
Monthly Accounting-To include the following activities:
QuickBooks entry for all transactions
Balancing against monthly bank statements
Check register corrections and regarding accounting issues
Quarterly reports
Writes and distributes checks for payment and reimbursements
Tracks debit card purchases and ensures proper documentation for all Executive Board members
Performs all other duties as assigned by the
Marketing : Reports to and coordinates with Committee Chair.
Keeps accurate database of individual, school district owned and industry
Obtains membership information from
Distributes all materials in conjunction with Industry Membership Program, including processing memberships, renewal notices, member benefit fulfillment and marketing/selling
Continuously seeks out new Industry Member participants and retains current
Assists with administration of fundraising activities as directed by the
Must obtain license to oversee raffles in the State of Colorado within first 60 days of
Marketing and promoting exhibitors to donate to raffle
Marketing, selling, invoicing and fulfilling conference sponsorship packages
Maintaining games manager license and annual state license
Submitting quarterly raffle reports
Coordinating materials and process for raffle distribution
Nominating: Reports to and coordinates with Committee Chair.
Manage CSNA annual election process including:
Coordinate with Nominating Chair regarding timeline and needs for potential candidates
Verify that members nominated for elected positions or committee appointments meet the eligibility criteria as established in CSNA
Informing members of nomination and election process
Initiating voting process and closing voting process
Conference & Education Committee: Coordinates with Conference Chair and Exhibits Chair Annual Summer Conference, Industry Conference, Regional Trainings
Acts as conference registration chair for attendees and exhibitors. Sells and processes exhibitor and attendee registrations.
Manages Online Registration, interfacing with provider to coordinate online registration for each event, trouble shoot registration issues, process refunds and reconciliation of credit
Responsible for running the conference registration desk and developing a work schedule for board members and volunteers to provide
Negotiates contracts for Hotel, Exhibit center, entertainment, General Session Handles all logistical planning with hotel, manages sleeping room block and reconciliation of Hotel Bill.
Maintains a database of vendors for Conference
Updates the exhibitor contracts and is responsible for printing, distributing and
Mails signed contract with pertinent information to
Responsible for printing, setup and display of signage for Conference meetings and Exhibit
Maintains and updates the registration brochure to include printing and
Prepares packets for on site registration to include giveaway bags, name badge, meal/beverage tickets and ribbons.
Prepares attendee
Develops and oversees the design, layout and printing of the Annual Conference program book, attendee packet and exhibitor packet. Coordinates all additional conference print
Handles all speaker Bios, AV requirements, and handout printing
Handles the pre set up of all AV requirements with hotel and exhibit
Coordinates with exhibit center or decorator where applicable the needs of
Orders all awards and gifts in conjunction with the conference as directed by the
Handles all hotel and travel arrangements for speakers as
Responsible for making arrangements for all photography .
Manage conference on-site. Coordinates all miscellaneous conference needs such as volunteers, signage, conference events,

Provides committee with updated list of Industry Memberships as
Creates and distributes marketing materials for event sponsorships and actively recruits event Maintains event sponsorship sales data.
Manages state Industry Membership recruiting and marketing efforts. Ensures all components of Industry Membership are executed as indicated per Industry membership
Public Policy & Legislative: Coordinates with State and Federal Chairpersons and Contracted Lobbyist.
Email/Post communication on issues to officers and other persons as directed by
E-mail Legislative Alerts as they
Register committee members for LAC, secure hotel reservations for committee
Work with the Legislative chairs to update items to be distributed at LAC and state Legislative Day
Assist with organizing CSNA Day at the Capitol
Order any supplies needed for legislative
Serves as the contact person for allied organizations involved in policy
Provides feedback on contracted lobbyist to Public Policy & Legislative committee and Executive
ADMINISTRATIVE
Store, inventory and keep track of all CSNA materials including the CSNA
Update all insurance policies annually. Secure additional insurance policies for CSNA events as needed.
Handle all not for profit filings with the

Manage member calls and emails
Assist Committee Chairs and Officers as

Prepares and sends calendar appointments for all CSNA Governing Board, Executive Committee and Committee meetings and

PUBLIC INFORMATION & COMMUNICATIONS
