Accountant & Office Administrator Job Opening in Kennewick, Washington - Columbia Fitness Accountant/Office Administrator
Reports to : CEO/Owner
Overall Responsibility : Manage all aspects of the accounting department, including A/P and A/R for all departments (retail & commercial sales, service, and computer), personnel time reporting and payroll, inventory control, and financial reporting. Also oversee the management of the Service Department, and general office administation.
Key Areas of Responsibility :
ACCOUNTING:
Payroll semi-monthly & payroll tax returns quarterly (commissions monthly, W-2s and 1099s at year end, 940 payments quarterly and returns annually, 941 payments semi-monthly and returns quarterly, SUTA payments quarterly and returns quarterly, L&I payments quarterly and returns quarterly)
Accounts payable
Accounts receivable, including collections on aging accounts
Maintain accurate P&L and Balance Sheet statements
Monthly excise tax returns
Account reconciliation (bank and credit cards)
Reconcile retail cash drawer regularly and prepare deposits
Process credit card settlement report daily
Supervise inventory management: direct the use of purchase orders, receipt of inventory, and ensure that salespeople are ringing up sales transactions correctly; also audit inventory regularly
Budgeting & cash flow management; continually monitor operating costs, actively pursue ways to decrease expenses
Financial reporting: create monthly financial statements by department for owner and department managers, and hold monthly meetings with owner to review financials and help set goals for each department. Attend any other meetings as directed by CEO.
Manage Fiander Properties account (rent payment from CF to FP, paying any FP bills from property account each month, reconcile loan statement, prepare year-end FP P&L for Fianders? personal tax return)
OFFICE ADMINISTRATION:
Order office supplies for all departments as needed
Follow the hiring checklist to obtain all employee paperwork from new employees and review our employment policies with all new employees
Collect all timesheets in preparation for payroll semi-monthly
SERVICE DEPARTMENT MANAGEMENT:
Oversee management of the service department, including supervision of Service Technicians and data entry staff to accomplish the following:
Schedule jobs for your service and computer techs, striving to eliminate downtime to meet a minimum goal of $50/hour in labor sales per technician.
Order parts as needed for repair jobs, and maintain service department parts inventory
Foster positive relationships with service dept. customers in order to produce future business
Answer all service line phone calls, and sales line phone calls as needed (when salespeople are all on the floor with customers)
Supervises: Service Technicians, Service Department Data Entry Staff
Consults with : Operations Manager, Sales Staff
Qualifications :
Significant prior accounting experience required, including familiarity with Washington state payroll and excise tax requirements
Management experience preferred
Highly organized
Dynamic, energized, enthusiastic, professional, and self-motivated
Compensation & Benefits :
Annual salary DOE
80 hours (two weeks) paid time off (PTO) annually, begins accruing after six months of continuous employment in this position
