MAJOR FUNCTION:
Performs a wide range of duties related to the Accounting Office under the general supervision of the Accounting Manager. Prepares and examines a variety of financial statements for completeness, internal accuracy and conformance with Generally Accepted Accounting Principles. Ensures timely preparation of monthly invoices. Reconciles and analyzes accounts receivables general ledger accounts and prepares appropriate journal entries. Prepares monthly accounts receivable aging reports, and maintains customer records.
BASIC DUTIES & RESPONSIBILITIES:
Prepares journal entries for non-dues revenues, accounts receivable, grants, and investments. Assists in month and year end closing activities.
Maintains several accounting databases, including monthly aging reports, customer accounts for collections activities, and investments schedules. Maintains subsidiary ledgers for various affiliate accounts, monitors accounts receivable aging balances and implements collection plans, and refers delinquent accounts to collection agencies after approval from accounting manager. Performs accounts receivable reconciliations for various AR accounts.
Reviews and monitors all cash receipts for the Association on a daily basis to include the deposit of checks at the bank. Verifies all bank deposits for the Association, including ensuring that all checks have been deposited. Performs bank reconciliation for various bank accounts. Disburses petty cash upon authorization and reconciles petty cash accounts on a monthly basis for review by the accounting manager.
Downloads lockbox files from SunTrust website and imports into iMIS via NASW Custom Import. Creates iMIS batch control sheets for non-download lockbox renewals, lockbox applications, in-house checks, and in-house credit cards.
Prepares and processes cash receipts for Foundation donations from in-house checks and in-house credit cards in iMIS.
Identifies and processes member refunds in iMIS before submitting to AP Accountant for processing.
Assists with preparing grant reimbursement requests and ensures grants are in compliance with appropriate accounting regulations such as Generally Accepted Accounting Principles (GAAP). This includes examining and confirming validity of expenses.
Acts as backup to AP Accountant in assisting with printing checks.
Issues monthly invoices to customers, tenants, Chapters and NASW Foundation.
Performs ad-hoc forecasts and analyses as needed.
Prepares entries in accordance with revenue recognition principles, and reconciles accounts receivables aging reports to the general ledger.
MINIMUM WORK REQUIREMENTS:
Skills:
Good written and verbal communication and interpersonal skills.
Strong analytical and critical thinking skills.
Ability to use PCs and to create automated spreadsheets in Excel.
Ability to maintain financial records.
Ability to understand and follow complex oral and written instructions.
Ability to prepare routine reports.
Ability to perform complex account transactions and reconciliations.
Knowledge: A bachelor's degree in Accounting or Finance is required. Requires sound knowledge of internal control procedures, particularly relating to cash. Requires a working knowledge of accounting practices, principles, and procedures relating to Cost Accounting and Financial Auditing. Requires strong knowledge of membership database (such as iMIS).
Experience: Requires two years of prior related work experience in accounts receivable in addition to the education requirement. Requires two years of experience in using on-line computer systems such as iMIS and Dynamics SL or similar programs.
