Job Title: Accounting Clerk

Description:
Payroll Processing:
Process weekly payroll
Review timecards for completeness and accuracy. Contact employees and/or clients to get timecards completed or approved.
Keypunch timecards hours along with payroll adjustments such as fringe benefits, holiday pay, medical insurance deductions, garnishments, and child support deductions.
Process, print and sort payroll checks for distribution.
Based on criteria determine who qualifies for holiday pay.
Set up or remove employee?s direct deposit accounts.
Invoices and Accounts Receivable:
Process and print invoices weekly. Prepare manual invoices if needed.
Print timecards and mail with invoices.
Pull up, reformat and edit vendor?s weekly invoice.
Prepare manual weekly for client invoices and email to HR Dept.
Post adjustments for certain clients, such as sales fees.
Post cash receipts every week and go to bank to deposit.
Weekly:
Calculate and pay payroll taxes.
Will process new hires for accounting procedures.
Update the Medical Qualify weekly hours? worksheet.
Update worksheets for hours worked and amounts billed for federal and certain state contracts to monitor budget amount spent and for fee pay back.
Monthly:
Medical insurance-prepare list of qualified employees.
Complete enrollment forms and submit online to vendor.
Notify qualified employees and provide policy packet.
Prepare and submit Termination forms online to vendor.
Prepare COBRA letters and forms for employees.
Prepare clientele management report and email within the 1st day of the month.
Pull vendor payment report. Research to match to our company invoice numbers and post receipts.
Prepare monthly excel worksheet for submitting wage paid onto insurance?s website to pay worker?s comp insurance premium.
Annual:
Prepare Form W-2s for employees and filing with Social Security Administration and the State of Hawaii.
Compile monthly excel worksheets into an annual worksheet to submit to local insurance company for annual worker?s comp insurance audit.
Prepare HC5 to send to all active employers.
Other daily:
Pay company bills.
Perform Social Security Number verification when needed.
Pick up mail and sort.
Fill out forms or prepare correspondence to various Child Enforcement Agencies.
Fill out or prepare correspondences regarding government levies, court orders and collection garnishment orders.
Fill out forms for government, banks and other organizations for employment verification.
Upon request by employee reprint prior year(s) Form W-2s.
Print updates federal wage determination pay rates. When needed prepare worksheet for various markups for new federal contracts.
Order accounting office supplies.
System Used:
TempWorks, BusinessWorks, Quickbooks, Microsoft Excel
Requirements:
Required: Someone with a passion or desire to get into the accounting field. Entry level candidates or right out of college will be considered! Must be OK with back office work, data entry, filing, sorting, invoicing, processing payroll, etc.
Preferred: Entry to mid-level experience as an Accounting Clerk, Accounting Assistant, Payroll Clerk, Payroll Assistant or related experience required; to include other back office admin, data entry or accounting/finance background will be considered.
Must be OK with strictly back office work, data entry, filing, sorting, invoicing, processing payroll, etc.
Advanced computer proficiency; strong Microsoft Excel skills required, types 60 WPM and 8000 KPH.
Ability to make sound business decisions in a fast paced environment.
Ability to multi-task, work under pressure and meet deadlines required.
Strong interpersonal communications (verbal and written).
Excellent follow-through skills and time management.
Multi-tasking, organization and prioritization skills.
Must be a quick learner, reliable and have strong attention to detail.
Ability to adapt and take advantage of a rapidly changing environment.

Pay Rate: $12.00 - $14.00/hour; BOE
