DUTIES AND RESPONSIBILITIES: Accounts Receivable including: Processing resident move-ins, move-outs, resident billings, status changes, posting payments, bank deposits and rate changes in resident module. Accounts Payable including invoice entry, processing payments, expense reimbursements, credit card charges, maintaining vendor files, and 1099s. Processing payroll, timesheet corrections, entering new employees into system, background checks, I-9s, assemble and maintain personnel files, managing unemployment claims and workers compensation person holding this position is delegated the responsibility for carrying out the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.
FUNCTIONS OF THE POSITION:
Work with the Executive Director and Marketing Department to ensure coordination of resident move-ins, move-outs and day-to-day administration needs of the residents are met.
Work with Reporting Accountant to ensure all financial information has been entered and accounted for appropriately to produce consistent and accurate financial reporting.
Maintain Resident administrative files.
Assist Executive Director and Reporting Accountant in developing annual admin budgets
Pay bills and take discounts offered
Make bank deposits
Process Payroll via ADP or similar payroll company
Manage new hire paperwork including monitoring proper documentation for I-9?s, drug tests, background checks, reference checks and ensure that all required forms are signed and filed in their proper places.
Participate in new hire orientation to review HR & Payroll issues.
Monitor employee benefits eligibility & submitting insurance & 401(k) applications.
Pay taxes when required.
Monitoring employee vacation and sick hour balances.
Managing Employee Appreciation program.
Running recruitment ads for community employee needs.
Running background checks and managing TB tests, and pre-employment exams.
Work with Director of HR to ensure compliance of COBRA, FMLA and other regulatory issues.
Supply requested information to owner, CEO, CFO, Reporting Accountant, accounting firms, auditors, etc.
Collect accounts receivable and prevent past due accounts.
Prepare daily, weekly, monthly and annual reports and summaries as needed or requested.
Work with third-party payers.
Maintain professional confidentiality.
Perform other duties as specified by Executive Director, Reporting Accountant, CEO & CFO.
