Job Summary
Responsible for a variety of accounting and clerical activities, such as recording, processing and summarizing financial information. This position is responsible for detailed and accurate data entry. This position requires strong customer service skills and the ability to communicate in person, on the phone, via e-mail & the Internet and through informational documents. Is responsible for sound judgment, thoroughness and competence, and confidentiality.
Core Responsibilities:
Payables:
Validation of Physical Placements / Alteration/ Termination files and match to QB
Create Vendor Contracts / Purchase Orders for Subcontractors
Processes vendor invoices
Maintains vendor communications
Reconciles open invoice file to accounts payable aging report monthly
Receivables:
Invoicing with correct client Purchase Order numbers, Ability to gather information from multiple databases and client portals to create accurate invoices
Generate accounts receivable related reports
Appropriately applying client payments to correct accounts
Make collection calls on past due invoices
Provide information on past due invoices to client liaisons (salespersons, project managers, etc.)
Reconcile Monthly Invoices with payroll
Prepare monthly commission reports
Reconcile open invoice file to accounts receivable aging report monthly
Validate Expenses and invoice clients ? Maintain Log of all Billable expenses and Validate against Payroll and Vendor Payments.
Administrative Support:
Responsible for creating Vendor agreements and purchase orders as well as follow up with vendors to gather all necessary documentation in completing the Vendor agreements.
Answers telephones, transfers calls, takes messages as needed
Qualifications
Associate?s degree or equivalent from a two-year college or technical school; or two or more years related experience and/or training; or equivalent combination of education and experience
Excellent verbal and written skills are required
Excellent attention to detail
Works well in a team environment
Able to work with a diverse group of people
Experience with various office software packages required, including but not limited to Word, Excel, and Windows operating systems, QuickBooks
