Currently we have a need for an Office Manager in our Wilmington, DE Office. The office manager needs to be a customer focused individual with the ability to communicate effectively in person and over the phone. The individual in this position will process daily invoicing of all job records and material orders for the five territories in our company, manage both accounts payable and accounts receivable processing and maintenance, and will correspond with vendors as needed through fielding all phone calls relating to accounts receivable/payable for the company. This person will also manage office supply inventory, answer phones and take messages, and perform various other administrative daily tasks.
EBC Carpet Services is a franchisee of MilliCare® Textile and Carpet Care and has been in business for over 25 years. They have offices in Wilmington, DE, Lanham, MD, and Chesapeake, VA. Their market area includes Baltimore, Norfolk, Philadelphia, Richmond, Washington D.C. and Wilmington, DE. EBC Carpet Services is one of the world's largest milliCare® franchisees and one of the largest commercial carpet maintenance companies in North America.

Salary Range: Depends on experience

Key Objectives:
milliCare® by EBC Carpet Services is focused on achieving and maintaining healthy, sustainable growth in our Wilmington, DE territory. Our office for this territory is located in Delaware but we service Pennsylvania, New Jersey and Maryland from this office as well.
This position is critical to our success in this territory. Our business model is to collaborate with clients, discover their unique needs, and offer customized solutions based on those situations. We need an individual that can establish those working relationships and develop long-term partnering scenarios with the necessary contacts in each account. This position will be responsible for scheduling cleans for our clients and providing a high level of customer service to all customers.
Major Areas of Accountability
Office Manager **
Answering phones, taking messages, fielding customer and sales team requests.
Receiving and welcoming guests, visitors, and clients to the office.
Transcribing and distributing minutes for office meetings.
Maintaining office supply inventories.
Completing of COI(Certificates of Insurance) for customers upon request.
Distribution of the office's mail
Accounts receivable **
Process daily invoicing of all job records and material orders for all company territories.
Daily cash receipts entry.
Credit card processing.
Field all phone calls relating to accounts receivable.
Manage monthly customer aging report through sending past due notices.
Maintenance of the accounting software through adding new customers and making corrections as needed.
Accounts Payable**
Daily vendor invoicing.
Weekly accounts payable check processing.
Maintenance of accounts payable software (adding new vendors, updating as needed after invoicing).

Proficient in Microsoft Office applications- Excel, Word, Outlook and have computer skills to create documents in Windows based programs
Flexible to travel to other offices as necessary for meetings and training.
Knowledge and Skill Required
High School diploma or GED (Associate's or Bachelor's degree preferred)
Familiarity with basic accounting
Computer experience with spreadsheets and word processing
Minimal flexibility for travel to other offices as needed.
