Group Sales Coordinator Job Opening in Seattle, Washington - PRIMARY PURPOSE OF THE POSITION: Job purpose of the Group Sales Coordinator is to coordinate the activities of the conference personnel and room reservations team to make arrangements for group meetings and conferences.
ESSENTIAL FUNCTIONS: (This list of essential functions is not exhaustive and may be supplemented and changed as necessary.)
Responsible for obtaining all direct bill and credit approvals of groups arriving at the property.
Obtain all rooming lists, monitor rooming list cut off dates, get all menu details, meeting room setups, refreshment break needs, postings, and any other additional needs of the client to ensure a successful event at the property.
The Group Sales Coordinator will be responsible for the compilation of all charges of their groups.
Responsible for the review of all bills that are sent to the client. In reviewing bills, they should be accurate and timely in order to maximize return business.
Generate thank you notes and service evaluations for all group clients in conjunction with the Sales Manager.
Work with the Director of Sales and Catering Sales Manager to generate a monthly forecast of meeting and catering revenues.
The Group Sales Coordinator is responsible for the servicing of all groups with guest rooms that utilize meeting space at the hotel.
Act as a liaison between the sales and operations department of the hotel to ensure a successful event for the clients and all of the client?s needs are met and communicated accurately and efficiently to all departments of the hotel.
Compile all Banquet Event Orders and group resumes for above groups.
Compiles all banquet checks for each group while at the hotel.
Coordinates all audiovisual requirements of the client and ensures that proper equipment is ordered.
Greet all clients as they arrive at the hotel to ensure that they have all required items.
Participate in weekly sales meetings and operations meetings to communicate the upcoming group?s needs.
Assist the Group Sales Manager with administrative tasks including researching future business, uncovering potential new business, inputting data into sales systems, scheduling site tours, compiling sales kits.

QUALIFICATION REQUIREMENTS: The requirements listed below are representative of the knowledge, skills, and/or ability required. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential duties.
Minimum 2 years experience in the role of Catering, Conference or Banquet Coordinator or similar hospitality experience.
Must be positive, result orientated and can work under pressure.
Great communication skills and ability to work with a diverse group of team members including sales managers and food and beverage staff.
Reports to the Director of Sales
Must have experience in food and beverage operations.
Ability to create, implement and analyze manual and automated reports.
Comprehensive knowledge of personal computers and various property specific applications, such as Delphi, Epitome, Word, Excel, Outlook and Internet.
Operational knowledge of reservations and national sales process.
Knowledgeable of all corporate department functions.
Knowledgeable with legal and contractual agreements.
Ability to create and price banquet menus appropriately.
Knowledgeable of revenue forecasting and variance preparation.
Knowledgeable of Top Accounts for the Hotel.
Well-organized, detail oriented with excellent follow-up.
EDUCATION and/or EXPERIENCE: Bachelor's degree (B.A.) from four-year College or university; or two years related experience and/or training; or equivalent combination of education and experience.
Previous experience in a 4 to 5 star hotel (and the quality and services expectations associated therewith) preferred.
Minimum of two years of sales and marketing experience in a hotel or related hospitality field.
