Office Administrator Job Opening in Baltimore, Maryland - Job Description:
The primary role of this position is to oversee the daily administrative operations of the locations. This position reports directly to the Manager and assistant Manager.
Responsibilities:
Issue all new project numbers through RPI software and create field files for distribution to the techs and managers.
Monitor all receivables including booking invoices, estimates, deductibles, contracts, supplements etc via Quick-books.
Provide management with a weekly Accounts Receivables Report, with updated notes on the status of all outstanding monies, and updated collections sheet.
Responsible for assisting management with all aspects of Collections, including contacting customers and/or adjusters for payment.
Update/Monitor all of RPI?s programs and virtual files with daily notes, pictures and required documents; work closely with field techs and supervisors to insure the accuracy of this information.
Keep concise, detailed, updated paper files of all ongoing projects
Maintain content storage files and bill for content and subrogation storage in the warehouse (if applicable).
Handle incoming calls from corporate including emergency service calls, new work, insurance questions, homeowner questions, etc.
Assist where possible to make sure all clients are contacted within one hour of emergency service call notification.
Assist the Manager and Assistant Manager regarding information and documentation pertinent to the projects
Provide and maintain necessary paperwork to field employees.
Responsible for incoming and outgoing mail and packages.
Maintain an adequate stock of office supplies for the staff to perform job duties.
Assist employees with IICRC status

Ability to input information into RPI?s software programs
:
Two years administrative experience is required as well as a finance or accounting background. Prior experience in the Disaster Restoration Industry is greatly appreciated, but not required. The willingness to learn is a must.
Physical Demands:
Ability to work in an office setting; stand, sit; walk; use hands; reach with hands and arms; climb or balance; stoop, kneel crouch, crawl continuously; read off of paper and off of a computer; talk and hear.
Requires minimal physical labor ? candidate must be able to life 30lbs. routinely
Traveling to a job when provided a vehicle requires the safe operation of a company vehicle ? must be able to drive
