Executive Assistant/Accounting Clerk Job Opening in Muskogee, Oklahoma - JOB PART I ? administration:
Serve as receptionist in the answering of the agency phone, and directing calls to appropriate staff and/taking messages.
Assist Executive Director with any needed clerical functions.
Assist with preparation of WIB and WIB committee agendas.
Responsible for documentation required of open meeting law.
Stay familiar with Roberts Rules of Order.
Post annual meeting schedules to the Secretary of State no later than December 15th of each year.
Serve as recording secretary for the minutes for WIB meetings.
Maintain records of all meeting materials, notices and agendas.
JOB PART II ? ACCOUNTING:
Complete transaction vouchers and accounts payable checks.
Maintain up to date accounting files in accounting system.
Create and maintain vendor files.
Create and update client vouchers and Individual Training Accounts (ITA) for monthly accrual/obligation reports for the accounting manager.
Assist monitors and auditors by pulling requested files.
Deposit cash/checks into appropriate agency bank accounts.
Check for signatures of approval on accounts payable documents and file vouchers.
Performs other duties as assigned by Executive Director or Accounting Manager.
Bachelor Degree and three years work experience in a related area with significant responsibility required.
Must possess effective oral and written communication skills. Must possess the ability to relate to staff and public in a professional and courteous manner.
