Fidelity Partners Medical Staffing is currently accepting applications for a Receptionist/Admin Assistant with experience in Personnel services to assist in recruiting efforts, employee relations, employee compensation programs, and ensuring compliance with company policies, practices and regulations.
General Purpose:
Provides general office support with a variety of clerical activities and related tasks. The Admin Assistant will also act as receptionist in addition to assisting in the performance of general personal duties for the department and employees. Additional clerical duties which may be assigned include:
Answer telephone calls, operate the switch board, screen and direct calls (This includes calls for our virtual office services, where we have 10+ active clients.)
Greet persons entering organization
Deal with queries from the public, customers, and employees
Prepare correspondence and documents
Receive and sort mail and deliveries (including those for our active virtual office clients)
Monitor, access, and maintain security awareness
Provide general administrative and clerical support
Partner with marketing to develop HR branding to attract new hires
Post positions that will attract top talent/create advertising
Ensure that personnel requisitions are completed in a timely manner
Conduct reference checks
Administer background investigations
Conduct phone interviews and face to face interviews
Schedule appointments
Maintain calendars either manually or electronically
Organize conference and meeting room bookings (This includes ensuring the virtual clients are billed appropriately.)
Coordinate meetings and organize catering
Monitor office/kitchen supplies
Tidy and maintain the reception area
Key :
Minimum 3 year in an Admin and/or Personnel Services role
Must have knowledge of employment regulations with the DOL, EEOC and OFCCP
Knowledge of administrative and clerical procedures
Knowledge of computers and MicroSoft software applications, including, but not limited, to excel, word, publisher, powerpoint, and nuance PDF
Proficient in Excel
Strong communicator with the ability to influence and persuade across all levels of the organization, exercising a high degree of confidentiality, professionalism, poise, tact and diplomacy to accomplish objectives
Professional personal presentation
Attention to detail
Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines
Initiative, work ethic, reliability and stress tolerance are key
Preferred:
Previous experience with employment related assessments.
Previous experience on-boarding for medical device or engineering industries
Previous experience in administration of government contracting
