Property Manager Job Opening in Jackson, Mississippi - The Manager is a direct representative of the company and is responsible for the efficient and profitable operation of the property. It is expected that he/she will exercise good Management judgement, implement the policies and decisions of both the owner and Heritage Properties, Inc. to operate within the confines of the operating budget, and follow the guidance of his/her Area Manager. Duties and Responsibilities include but are not limited to the following: 1. Training, supervising, hiring, and terminating on-site employees to include performance evaluations and enforcement of all Heritage Properties, Inc. policies and procedures. 2. Maintain high standards of resident relations by seeing that maintenance requests are completed in a timely manner, social activities are done periodically, and communication is promoted between the Manager and the on-site staff. 3. Inspect all vacancies on a weekly basis, walk grounds and recreational areas on a daily basis. Make sure that at least 50% of all vacant units are rent ready and available to show at all times. 4. Authorize and approve lease applications and sign Resident leases. Verify that prospective residents have been properly screened and see that all leases, rules, regulations, and applications are filled out completely and properly. 5. Responsible for obtaining contracts from outside contractors to be submitted to the Regional Manager for signature. The Manager does not have the authority to sign any contract or credit application that would bind the property or Heritage Properties, Inc. All contracts must be approved by the Regional Manager and signed by the Director of Property Management without exception. 6. Complete all credit applications and submit to Home Office for Area Supervisor approval or Director of Management ? ONLY. 7. Maintain an organized system for accurate recordkeeping including resident files, marketing information, maintenance records, purchasing, inspections, general correspondence, and budget logs. 8. Process all required forms and ensure timely submission of required reports. 9. Prepare all invoices for submission for payment. All contracted work should be verified to be complete and professionally done to specifications before invoicing for payment. All invoices, which are received, should be date stamped, reviewed, copied, and approved by the Manager and forwarded weekly (every Friday) to the Area Supervisor. Any utility bills must be forwarded for payment immediately and logged on the utility log. 10. Maintain accurate recordkeeping for all incoming funds and will be held accountable should any funds be lost or misappropriated. This includes petty cash, rental income, Security Deposits and/or miscellaneous income. 11. Request specific property expenditures over $500 and review for conformity with Chart of Accounts. Non-Budgeted expenses over $500 require Area Supervisors approval. 12. Review monthly accounting reports, discuss, and document discrepancies with Area Supervisors. Review monthly operating statements and compliance with annual budget and implement plans of action to optimize site profitability. 13. Prepare the annual operating budget and business plan for review with Area Supervisor. Schedule and order supplies and work performed at the property within budgeted expense levels. 14. Responsible for collecting bad debts through legal process and filing warrants promptly. 15. Responsible for property inventory and knowledge of maintenance functions, water and sewer cut offs, and emergency procedures. Keep Area Supervisor informed of any and all deferred maintenance. Items concerning health and safety issues are to be reported immediately to the Area Supervisor with a plan of action for correction. 16. Prepare monthly market analysis, which compares rents/amenities, and monthly property analysis which tracks current trends, general market conditions, occupancy, and leasing activity for the month. 17. Maintain the highest physical and economic occupancy at all times. Lease vacancies and apartments on notice, professionally and as quickly as possible to reduce vacancy loss. Conduct regularly scheduled staff meetings to keep all personnel informed as to current goals. 18. Develop and maintain a property safety plan to ensure safe working conditions. Keep staff aware of current Safety Regulations and hold regularly scheduled safety meetings. 19. Remain familiar with duties of all on-site personnel and ensure that all duties of all personnel are fulfilled at all times. Report immediately to Area Supervisor if you are unable to fulfill any on-site duties.
