Job Title:
Office Manager, Commercial Real-estate (MUST HAVE COMMERCIAL EXPERIENCE TO BE CONSIDERED)
Job Description:
This company in DT Seattle is made of three buildings with 215,197 square feet of unique office, studio, and work spaces. We are seeking an Office Manager with Commercial Real-estate experience to manage the day-to-day administrative operations of the buildings.
Essential Functions Include:
Accounts Payable Tasks
Prepare vendor bills in AP ledger
Enter bills in QuickBooks and upload transactions
Confirm any unpaid bills and update billing errors
Create vendor files, obtain W-9 forms and vendor contact information
Calculate tenant bill backs, update utility meter spreadsheets and use meter reading software
Accounts Receivable Tasks
Enter tenant payments in cash receipt journals and deposit payments into bank account
Enter payments in QuickBooks: upload deposits, create invoices, apply items
Maintain tenant accounts and apply charges as updates are needed
Upload credit and debit transactions into system
Prepare and process tenant statements: update memorized transactions, confirm prepaid amounts and remaining balances
Daily Billing Tasks
Month-end accounting reports: process any move-outs, review aged-receivables and security deposits, note any unpaid bills
Beginning of the month tasks: prepare tenant billing
Track delinquencies, contact tenants, and draft notices
Correspond with vendors and tenants
Monthly financial reporting
Update shared drive files: rent rolls, lease tracking, contact lists, other excel documents/reports
Track leasing activity: new leases, upcoming lease-ends, rental increases or changes to monthly billing
Process tenant move-outs: coordinate move-out tasks, bill final charges, refund security deposits, deactivate tenant accounts, and file tenant folders
Process tenant move-ins: arrange move-in packets, update tenant reports, create tenant?s file, prepare signage, submit tenant keys work order, process tenant payment
Building Management Tasks
Maintain and organize building files, monitor and replenish office supplies
Arrange tenant signage, work with vendor to complete various work and billing requests
Coordinate tenant requests and send building notices.
Update and make changes to building website and other online sites
Prepare building floorplans, update flyers
Maintain knowledge of tenants, leases, and vendors
Facilitate work order requests, regularly communicate with tenants about building issues and daily requests.
Constructing emails, creating building memos and distributing notices to tenants about regular building events
Qualifications
Experience working with Quickbooks Pro accounting software;
2 Years of experience in commercial property management;
Bachelor?s degree strongly preferred;
Strong organizational skills with attention to detail;
Multi-task and ability to prioritize heavy workload;
Outstanding customer service skills;
Highly motivated and dependable person;
Strong proficiency in MS Office (Word, Excel, etc.);
Strong written and excellent communication skills;
This position pays $45k-$50k with benefits and bonuses
